Position Summary
We seek a dedicated full-time Visual Merchandising Administrative Coordinator to support our Visual Merchandising team. This vital role manages administrative functions, facilitates operational and project initiatives, and ensures seamless merchandising execution across retail and wholesale settings.
Primary Responsibilities
- Regularly oversee and confirm the Visual Merchandising project calendar, effectively communicating updates to stakeholders.
- Assist VM project teams with documentation, administrative duties, and operational workflows.
- Research and organize travel bookings for management approval, including transportation and lodging.
- Maintain and update Monday.com boards, automations, and provide system input support.
- Track and update inventory of visual merchandising materials, fixtures, and props.
- Process purchase orders, invoices, and monitor vendor payments.
- Collaborate with departments such as Receiving, Retail, Storage, and Logistics to facilitate smooth project operations.
- Manage vendor onboarding paperwork and tax documentation with Finance team coordination.
- Coordinate relocation of visual merchandising assets, handling labeling and communication for timely transfers.
- Partner with Logistics to schedule freight and courier shipments following VM standards.
- Monitor indirect marketing asset approvals and delivery for Creative Marketing activities.
- Serve as liaison between Visual Merchandising, Store Operations, and external vendors to ensure clear communication.
- Organize VM team meetings, including scheduling, invitations, agendas, and distributing follow-up notes and reports.
- Track and pursue pending requests, approvals, and assigned action items.
Qualifications and Experience
- One to three years of relevant experience in project management or administrative support is required.
- Prior experience in visual merchandising, retail design, or related design environment is highly preferred.
- Proficient with computers and software including Microsoft Office 365 (Outlook, Word, Excel), Adobe Acrobat, Figma, NetSuite or comparable ERP, and Monday.com project management tool.
- Strong written and verbal communication skills, with the ability to convey information clearly and professionally.
- Excellent organizational abilities including managing multiple projects simultaneously and prioritizing tasks efficiently.
- Detail-oriented, self-motivated, and capable of independent critical decision-making.
Physical and Environmental Conditions
- The role is remote, requiring a reliable high-speed internet connection and a home office setup conducive to productivity and confidentiality.
- Frequent use of computers, telephones, printers, scanners, and video conferencing tools is necessary.
- The ability to perform extended computer work and occasional lifting of items up to 10 pounds is needed.
- May require flexible work hours to accommodate meetings across different time zones.
