About the Role
Zirtual offers a balanced work culture by providing skilled remote assistants to support clients professionally and personally. As a Virtual Executive Assistant, you will be the main contact for your assigned clients, working independently while guided by an Account Supervisor who assists with client relations, plan changes, and quality monitoring.
Your essential function is to support busy professionals by managing their schedules, communications, and daily tasks with efficiency and foresight. This involves anticipating needs and ensuring tasks are handled promptly with high standards.
Availability is required during client business hours as agreed individually, but around-the-clock availability is not mandatory. Duties include weekly usage reporting, responding to messages within two hours, maintaining thorough client information, and following Zirtual's success protocols.
Primary Tasks
- Organize and coordinate complex calendars and appointments while preventing conflicts.
- Schedule meetings and calls across various time zones.
- Monitor and manage email inboxes including composing and replying to messages.
- Prioritize and follow up on communications timely, acting as a link between clients and external/internal contacts.
- Prepare documents, presentations, reports, and assist with project management and record keeping.
- Plan travel arrangements, bookings, and create detailed itineraries, managing changes as needed.
- Organize virtual and in-person meetings or events efficiently.
- Support day-to-day business operations and contribute ideas to improve processes.
Qualifications and Skills
- Strong organizational and time management capabilities.
- Excellent communication skills, both written and verbal.
- Attention to detail and accuracy in duties.
- Capability to manage multiple clients and deadlines concurrently.
- Proactive approach, resourcefulness, and problem-solving skills.
- Ability to work autonomously in a remote setting.
- Bilingual abilities (English/French or Spanish) are preferred.
- Experience supporting executives, entrepreneurs, or small business owners is beneficial.
- Associate’s or Bachelor’s degree in Business Administration or a related area or equivalent experience.
- At least 2-4 years of experience in Executive or Administrative Assistant roles, preferably supporting multiple clients or executives.
- Typing speed of minimum 50 WPM with accuracy.
- Proficiency with Google Workspace or Microsoft Office.
- Familiarity with calendar management tools such as Google Calendar or Outlook.
- Experience with project management and CRM platforms like Asana, Trello, ClickUp, Zoho, or Salesforce.
- Comfort using communication tools including Slack, Zoom, or Microsoft Teams.
- Reliable internet connection, computer, and phone with commitment to confidentiality and professionalism.
- Availability during typical business hours (PST or EST, Monday to Friday), unless otherwise negotiated.
- This contractor position is open only to residents of the United States or Canada.
Compensation
This independent contractor role offers earnings based on a percentage of clients' monthly plans, with a typical monthly income between $1,500 and $3,800, depending on the client portfolio.
