Key Responsibilities

  • Manage administrative functions such as facilities, housekeeping, pantry services, utilities, transport, and support services across multiple sites.
  • Ensure upkeep and availability of office infrastructure, assets, and amenities.

  • Maintain comprehensive documentation, records, MIS reports, and ensure audit readiness.

  • Conduct frequent security risk assessments, safety drills, and inspections.
  • Liaise and coordinate with local authorities like Police, Fire Departments, Municipalities, Guard Boards, and regulatory bodies.
  • Identify, onboard, and negotiate with vendors providing administration, facility, and security services.
  • Monitor SLAs, conduct performance evaluations, handle renewals, validate invoices, and resolve discrepancies.
  • Manage inventories of consumables, stationery, uniforms, administrative assets, and equipment.
  • Perform periodic physical verification of inventory and address shortages or losses.
  • Ensure compliance with statutory, regulatory, safety, and security standards.
  • Support internal and external audits and implement corrective measures where necessary.
  • Establish SOPs for safety protocols, emergency preparedness, disaster management, and health, safety, and environment (HSE) initiatives.
  • Lead and supervise administrative executives, supervisors, and outsourced personnel.
  • Collaborate with HR, Finance, IT, Projects, and Business teams to ensure smooth service delivery.
  • Serve as the primary point of contact for all administration and security-related issues at assigned sites.

Qualifications and Experience

  • Graduate or Post Graduate qualification; MBA or PGDM preferred.
  • Minimum 8 to 12 years of experience in retail administration, security management, and housekeeping.
  • Proven track record in managing administrative operations across multiple retail locations.
  • Proficiency in Marathi is preferred along with strong command of English.
  • Strong knowledge of vendor negotiation, contract management, budgeting, cost control, and MIS reporting.
  • Awareness of local statutory and regulatory frameworks.
  • Excellent leadership, communication, stakeholder management, problem-solving, risk mitigation, and crisis handling capabilities.
