About the Role and Workplace
The available position is located at 33 Molesworth St, Dublin. The successful candidate will become part of a well-established team within the property management division. Their main responsibility will be to support a team managing a portfolio of commercial properties, working collaboratively with Property Managers and Facilities Managers to provide comprehensive property management services.
Key Responsibilities
- Prepare and issue tenant account statements including updates against prior balances.
- Collaborate with accounting to ensure demands are issued according to lease agreements and monitor the progress of tenant arrears until resolved.
- Address tenant finance-related inquiries regarding invoices and account charges.
- Assist in compiling financial client reports by tracking account balances and arrears.
- Perform data entry tasks in property management software such as setting up new tenancy agreements.
- Engage with other departments on joint client projects.
- Maintain property management databases in compliance with departmental guidelines.
- Regularly update and organize property files for accuracy.
- Participate in departmental and client meetings by preparing agendas, recording minutes, and following up on actions.
- Draft letters, reports, presentation documents, and memos; develop standardized templates to facilitate communication requests.
- Execute mail merges using database and spreadsheet information.
- Provide assistance with any additional duties necessary to support the team.
Required Skills and Experience
- Prior experience in commercial property management is advantageous.
- A proactive, positive mindset with a commitment to continuous improvement.
- Strong team collaboration skills.
- Well-organized, focused, and attentive to detail.
- Ability to solve problems with solution-oriented approaches.
- Possession of a full driver’s license.
- Proficiency with Microsoft Office applications.
Preferred Qualifications and Skills
- Possession of a tertiary qualification, preferably in business or real estate.
- Familiarity with commercial property management practices.
- Awareness of Landlord and Tenant Legislation.
- Holding a full driver’s license and PSRA license, with progress toward professional chartership.
