Project Manager

Role Overview

Our client is seeking an Intermediate Project Manager to oversee the Central Intake program, focusing on steering planning and execution for Central Waitlist Management. This includes coordinating digital system integrations, developing clinical workflows, engaging stakeholders, improving processes, and managing cross-regional collaboration.

Key Responsibilities

• Lead healthcare and digital implementation projects with formal project management approaches.
• Create and maintain project documentation such as charters, business cases, schedules, risk and issue logs, and status reports.
• Support the launch and management of Central Waitlist Management Stage 2.
• Coordinate activities among digital platforms, vendors, partners, and health teams across regions.
• Collaborate with clinical leads and stakeholders to gather requirements and build clinical workflows.
• Drive process improvements, redesign, and re-engineering efforts.
• Monitor project milestones, risks, dependencies, budgets, and timelines.
• Develop executive-level presentations, briefing notes, and meeting materials.
• Engage with project sponsors and senior leadership to communicate project status, risks, and decisions.
• Provide secretariat support to committees and governance groups.
• Facilitate workshops for stakeholders to gather requirements and build consensus.
• Manage relationships across clinical, operational, digital, regional, vendor, and executive groups.
• Support change management initiatives including communications, adoption, and transitions.
• Ensure project documentation complies with Enterprise Project Management Office standards.
• Complete knowledge transfer and project documentation prior to contract completion.

Required Qualifications

• Proven experience managing complex projects using formal methodologies.
• Proficiency in preparing project charters, schedules, risk and issue logs, and status reports.
• Strong background in process improvement, redesign, or business process re-engineering.
• Experience with digital technology implementations.
• Capability in coordinating vendors, digital teams, and business stakeholders.
• Excellent skills in stakeholder engagement, requirements gathering, facilitation, and consensus building.
• Ability to handle multiple workstreams and competing priorities effectively.
• Strong communication, reporting, presentation, and technical writing skills suited for executives.
• Comfortable working within complex matrix management environments.

Preferred Qualifications

• 5–7 years managing projects or process improvements in healthcare or clinical settings.
• At least 3 years experience directly within healthcare or clinical environments.
• Familiarity working with clinical stakeholders and healthcare service delivery models.
• Experience implementing referral systems, scheduling tools, clinical workflows, or enterprise digital platforms.
• Proven ability to lead large-scale, provincial, or enterprise transformation projects.
• Experience managing programs with multiple workstreams and budgets over $10 million.
• Background in strategy, health services planning, program implementation, and quality improvement.
• Strong facilitation and coaching skills for interdisciplinary teams during organizational change.
• Expertise in central intake, waitlist management, scheduling, referral management, or patient-access contexts.
• Previous experience with the Ontario public sector is advantageous.
• PMP certification is preferred.
• Undergraduate degree in Business Administration, Technology, Health Sciences, Health Administration, Informatics, or related fields; a master's degree is a plus.
