Overview
We are looking for a meticulous and well-organized Paralegal Associate to provide essential support in legal and administrative functions within a fast-paced professional environment. This role focuses on managing paperwork, facilitating coordination among teams, and enhancing the efficiency of legal procedures while adhering to strict accuracy and confidentiality standards.
Responsibilities
- Offer daily administrative assistance to paralegal and legal teams, including preparing documents, filing, and managing records.
- Systematically organize, update, and maintain legal files and case documents ensuring confidentiality and precision.
- Assist in drafting, formatting, reviewing, and proofreading various legal documents and correspondence.
- Monitor deadlines, follow up on outstanding tasks, and manage calendars, meetings, and case-related schedules.
- Help collect, organize, and distribute information requisite for legal cases, internal audits, and administrative workflows.
- Maintain professional communication with internal departments, external partners, and vendors to support effective information flow.
- Prepare and organize documentation for meetings, hearings, and client interactions ensuring completeness and order.
- Carry out general legal administrative tasks such as data entry, scanning, copying, and upkeep of office filing systems.
- Identify and suggest improvements for administrative processes and uphold consistent documentation standards.
- Ensure compliance with company policies, legal requirements, and confidentiality obligations in all functions.
Qualifications and Skills
- Associate degree, certificate, or equivalent experience in paralegal studies, legal administration, business administration, or related disciplines.
- Prior experience in legal administrative support or paralegal assistant roles.
- Strong organizational capabilities to juggle multiple priorities and deadlines efficiently.
- Excellent written and oral communication skills with a professional demeanor.
- Keen attention to detail in document handling, data input, and recordkeeping.
- Proficiency with Microsoft Office applications such as Word, Excel, Outlook, and knowledge of document management systems.
- Ability to handle confidential information discreetly and professionally.
- Problem-solving aptitude and capacity to work both independently and collaboratively.
Preferred Qualifications
- Paralegal certification or formal education from an accredited institution.
- Experience assisting legal teams in corporate, law firm, or internal legal departments.
- Familiarity with legal terminology, document standards, and administrative legal processes.
- Experience with case management, electronic filing, or document tracking software.
- Basic knowledge of legal research and records management.
- Bilingual communication skills as required.
