Job description
About the Role
We are seeking a dedicated Office Co-ordinator to join our Canberra office on a permanent full-time, onsite basis. This position involves delivering efficient office services to support both internal staff and external clients, with a focus on continuously enhancing operational functions within the office.
Key Responsibilities
- Warmly welcome and assist clients and visitors to ensure a professional and positive experience.
- Manage meeting room bookings, arrangements, and resets to facilitate seamless execution of meetings and client events.
- Maintain client areas, kitchens, meeting spaces, and workplace zones to high standards of cleanliness and organization.
- Oversee and evaluate office service processes, implementing best practices and effective reporting systems.
- Administer security passes, orient new employees with office tours, and coordinate distribution of merchandise and equipment.
- Collaborate with Facilities, Technology teams, suppliers, and building management to handle maintenance and equipment needs.
- Manage work health and safety checks, coordinate emergency wardens, first aid, and respond to critical incidents as required.
- Handle mail, courier deliveries, and ensure proper distribution.
- Coordinate internal communications along with office events and activations to promote engagement.
- Assist legal assistants by scanning, gathering, and copying court documents.
- Manage office inventories including stationery, catering, and staff amenities while reconciling budgets.
- Provide support to the National Operations Manager and the Canberra Office Partner in Charge.
- Participate in project work and perform general office duties as needed.
Candidate Profile
- At least two years’ experience in a comparable role or within a professional services environment.
- Excellent communication and interpersonal skills.
- Proficient with Microsoft Office applications.
- Ability to work independently with minimal supervision.
- Strong attention to detail and organizational capabilities.
- Effective time management skills.
- Adaptable, dependable, proactive, and demonstrates a positive, can-do attitude.
