Location and Setup
This role is based at Avoca's New York City headquarters located at 55 5th Ave #1701, New York, NY 10003. The position requires working on-site to support the office environment and team members physically present.

Role Purpose
The Office Administrator plays an essential role in ensuring smooth daily office operations, managing supplies, coordinating meetings and guest visits, supporting an upcoming office relocation, and assisting with company events. This position supports the Office Manager and helps maintain an efficient and employee-friendly environment that can scale as Avoca grows.
Key Responsibilities
- Assist in maintaining daily office functions including supplies, mail, meeting room arrangements, and guest coordination
- Act as a dependable contact for employees' daily office inquiries and escalate issues appropriately
- Support and coordinate tasks related to the office move such as packing, inventory, communication, and on-site assistance
- Organize deliveries, repairs, and vendor appointments to ensure seamless office operations
- Prepare and dismantle company events, off-site meetings, and all-hands gatherings
- Monitor and reorder office and pantry supplies proactively
- Identify and promptly report facility maintenance needs and follow through until resolved
- Manage miscellaneous projects to improve office functionality in line with company growth
Candidate Requirements
- Minimum of two years’ experience in office administration, coordination, or operational support roles
- Previous involvement in office relocations is highly advantageous
- Strong organizational skills with multitasking abilities without oversight lapses
- Hands-on approach comfortable with physical tasks beyond desk work, especially during the move
- Excellent interpersonal communication skills fostering openness and approachability among staff
- Proactive attitude to anticipate needs such as supply shortages or maintenance issues
- Competent in commonplace office software like calendar applications, email clients, and spreadsheet tools

The anticipated salary range for this position is $80,000 to $100,000 annually, with final pay dependent on candidate experience, skills, and qualifications.
