Overview
Join our team in Berlin as a Mail & Office Support Operator within Digital & Workplace Solutions, delivering top-notch mail, scanning, and general office support services to maintain smooth and professional operations. You'll work on site as part of a compact team utilizing advanced digital and technical tools like scanners, package lockers, and tracking systems to meet strict deadlines and quality benchmarks. Reporting directly to a manager based in Frankfurt, you'll adhere to global control protocols to ensure rigorous and compliant processes.
Responsibilities
- Handle the reception, sorting, distribution, and dispatch of incoming and outgoing mail and packages, ensuring adherence to quality requirements
- Operate and maintain digital solutions such as package lockers, scanners, and tracking devices to uphold transparent, controlled workflows
- Scan, index, and direct documents based on standardized document management methods and tools
- Track service deadlines and daily workloads to satisfy productivity targets
- Assist clients with basic office services including managing stationery supplies and distribution
- Troubleshoot minor issues with office print devices and coordinate support escalation when necessary
- Keep precise logs and records related to mail, shipping, scanning, and associated activities
- Support meeting room preparations and other client facility-related tasks to deliver a professional experience
- Strictly follow global control procedures to maintain robust, compliant operations
- Communicate effectively with on-site stakeholders and the Frankfurt leadership about service status and concerns
Required Qualifications & Skills
- Experience in mailroom, shipping/receiving, scanning, or office support roles
- Ability to consistently meet deadlines, quality benchmarks, and productivity standards within a service environment
- Confidence and proficiency in using digital and office technologies such as scanners, tracking tools, and printers
- Meticulous attention to detail when handling documents, labels, and tracking records
- Customer-centric and professional approach toward on-site support
- Effective collaboration skills to work efficiently in a small team and new office setting
- Strong verbal and written communication abilities to coordinate service requests and updates
- Commitment to following established procedures and controls rigorously
Preferred Qualifications & Skills
- Familiarity with document management and record-keeping workflows
- Experience with package locker systems and handling high mail volumes
- Prior exposure to supporting meeting rooms or client facility needs in an office environment
- Ability to resolve routine print device issues and escalate problems appropriately
