Role Overview
SMX seeks a detail-oriented and personable Junior Project Analyst to assist in managing tasks on a GSA AAS professional services contract. The position primarily focuses on managing Travel Authorization Requests (TARs) and Requests to Initiate Purchase (RIPs), acting as a liaison among portfolio leadership, internal teams, subcontractors, and government contacts. The analyst collaborates closely with the Portfolio Lead, project managers, contracts, and finance teams to ensure accurate initiation, consistent tracking, and proper documentation of project activities per contract and internal procedures. This is a fully remote role supporting a dispersed team across multiple time zones.
Key Responsibilities
- Manage the process of initiating, tracking, and maintaining Travel Authorization Requests in compliance with contract requirements and company policies.
- Coordinate with project staff, subcontractors, and internal teams to collect essential travel information.
- Communicate clearly and professionally about travel approval statuses, policy guidelines, and subsequent steps.
- Prepare and submit Requests to Initiate Purchase for labor, materials, or services, ensuring completeness and compliance.
- Collaborate with subcontractors and procurement teams to track approval and execution status of RIPs, following up until resolution.
- Act as the main contact for subcontractor representatives regarding administrative and process matters.
- Explain SMX and GSA AAS procedures, requirements, and timelines in an understandable and approachable manner.
- Build and maintain effective working relationships to minimize delays and resolve issues.
- Maintain various trackers, logs, and shared documentation repositories.
- Document action items, deadlines, and follow-ups from meetings and communications accurately.
- Support weekly and monthly reporting by providing accurate and organized inputs.
- Consistently apply standardized checklists, templates, and workflows.
- Identify recurring challenges or confusing points and elevate them appropriately to leadership.
- Contribute to process improvements by aiding stakeholders in understanding and adhering to established procedures.
Required Qualifications
- Must obtain interim Secret security clearance within 60 days of start date (SMX will sponsor).
- Minimum of two years’ experience in administrative, operations, logistics, or project support roles.
- Proven track record coordinating requests, approvals, and follow-up activities.
- Strong communication skills, both written and verbal, able to clearly explain policies and processes.
- Demonstrated ability to work effectively with diverse personalities and stakeholders.
- Exceptional attention to detail and organizational aptitude.
- Proficiency in Microsoft Excel and Word for managing trackers and documentation.
- Capability to work independently in a remote work environment.
- Ability to obtain and maintain a U.S. Government security clearance.
- At least a high school diploma.
Preferred Qualifications
- Bachelor’s degree in a relevant discipline is preferred.
- Experience engaging with subcontractors or external partners.
- Familiarity with government or regulated workplace environments.
- Background supporting travel coordination or purchase request processes.
- Customer-facing, coordination-heavy role experience.

SMX determines candidate compensation through a comprehensive process considering location, relevant experience, skills, education, and certifications. The offered salary range is $50,000 to $60,000 annually.
