Inventory Project Assistant

Position Summary

The Inventory Project Assistant plays a vital role in supporting the BR Data Inventory Project by ensuring accurate inventory records and maintaining inventory integrity throughout receiving, counting, auditing, and reconciliation activities. This role involves handling purchase orders, processing supplier returns, performing inventory counts and audits, logging inventory movements, and producing inventory analysis reports.

Collaborating closely with the Purchasing Department, Warehouse Manager, and Financial Assistant, the Inventory Project Assistant contributes to keeping precise inventory levels within BR Data and delivers information to aid purchasing, sales, and inventory management decisions.

Key Responsibilities

Receiving and Processing Inventory

• Print and review daily pending purchase orders from BR Data.
• Receive purchase orders utilizing BR Data’s handheld device.
• Record invoice totals and quantities received (units/boxes).
• Scan items into the system and identify products needing UPC updates.
• Verify received quantities by opening and counting boxes as required.
• Inspect product quality and document findings per ABC’s Quality Control Guidelines.
• Process and log supplier returns within BR Data.

Inventory Management and Auditing

• Identify inventory items lacking UPC codes or not scannable.
• Conduct initial inventory counts by:
  • Resetting current available quantities in BR Data.
  • Physically counting inventory.
  • Recording counts in the system.
  • Perform counts post operational hours, section by aisle.
• Perform weekly inventory audits including:
  • Physically counting stock.
  • Checking product quality.
  • Reconciling physical inventory with BR Data reports.
  • Preparing discrepancy reports and documenting inventory variances.
