Role Overview
This position supports project managers by facilitating planning, scheduling, and resource management to ensure smooth execution of IT projects including digital transformations and infrastructure-related initiatives.
Key Responsibilities
- Assist in creating and maintaining detailed project plans including schedules, milestones, and resource assignments.
- Oversee timeline adherence by tracking progress and escalating any potential risks or delays promptly.
- Arrange and coordinate meetings, workshops, and provide regular status updates to all relevant project stakeholders.
- Manage comprehensive project records such as meeting minutes, action logs, risk registers, and change documentation.
- Develop periodic project status reports, dashboards, and progress summaries for managerial and client review.
- Monitor and document project risks and issues, follow up on mitigation measures and ensure resolution.
- Coordinate resource allocation and assist in resource planning activities across multiple concurrent projects.
- Support change management processes by helping to document and track approval of project change requests.
- Assist in financial aspects including budget tracking, purchase requests, invoicing, and cost monitoring.
- Support quality assurance efforts by ensuring deliverables conform to established standards and governance protocols.
Deliverables
- Comprehensive project schedule detailing milestones, dependencies, and timelines.
- Weekly or monthly progress reports summarizing project status.
- Accurate meeting minutes highlighting decisions, action items, and accountable owners.
- Ongoing action tracker documenting outstanding tasks and follow-ups.
- Maintained risk register assessing potential impacts and mitigation strategies.
- Issue log to track problems and their resolution status.
- Change request log for submitted and approved modifications.
- Resource plans showing allocation and utilization statistics.
- Project dashboards presenting KPIs and progress metrics.
- Project closure reports capturing summaries, lessons learned, and formal completion documents.
Qualifications & Experience
- Bachelor's degree in Business Administration, Computer Science, or related disciplines.
- 3 to 5 years of relevant experience, preferably handling multiple projects simultaneously.
- Background in IT, digital transformation projects, infrastructure, or business process initiatives is advantageous.
- Preference given to bilingual candidates meeting local Saudization requirements.
