Role overview
The HR Systems Analyst will manage and improve HR systems and related workflows within the HR Operations team. This position is responsible for system support, administration, troubleshooting, reporting, testing, documentation, and process enhancement. It is a more autonomous role than a coordinator position and is expected to identify issues, suggest practical solutions, and help build efficient, scalable, and compliant HR processes.
The role primarily works with UKG as the core HRIS and Greenhouse as the applicant tracking system. It requires someone who is highly systems-oriented while still understanding the realities of HR operations enough to make workable improvements.
Key responsibilities
- Act as a main point of contact and subject matter expert for HR technology, especially UKG and Greenhouse.
- Handle daily HR system administration tasks such as employee updates, data maintenance, workflow assistance, troubleshooting, configuration changes, permissions, routine upkeep, and testing within approved controls.
- Build, validate, and support recurring and ad hoc reporting; maintain strong UKG BI reporting capability; and perform audits and reconciliations across HR platforms and connected workflows.
- Manage file transfers, integrations, bulk data uploads, and recurring system tasks tied to annual compensation and other people programs.
- Improve and administer FreshService as the HR Operations ticketing platform while giving prompt and useful support to employees and internal partners on system and process questions.
- Support compliance and learning administration, including annual anti-harassment training in Docebo, and gradually expand support to additional tools such as Quantum.
- Create and keep updated SOPs, process documentation, troubleshooting instructions, FAQs, and knowledge base materials so work can be scaled and shared.
- Spot and implement automation, process, and system improvements that reduce manual effort, strengthen the employee experience, and help HR Operations scale.
- Lead or assist in AI adoption by identifying practical use cases, building agents or automations, and integrating scalable solutions into team workflows.
- Work closely with HR Operations Specialists and Managers, plus teams in IT, Payroll, Finance, Legal, HRBPs, Total Rewards, and Talent Acquisition, to solve problems and improve processes.
- Bring forward new ideas, balance multiple priorities, track milestones, monitor product updates and best practices, and support reporting, audits, and operational projects as needed.
Qualifications
- 3 to 5 years of experience in HR systems, HR operations, or people analytics, ideally in a fast-moving global organization.
- Practical experience administering HR platforms and supporting employee lifecycle processes in a business setting.
- Strong understanding of employee lifecycle workflows and the role HR systems play in supporting them.
- Background in reporting, BI reporting, data checking, audits, reconciliations, and issue resolution.
- Experience with integrations, file feeds, bulk uploads, and making useful system or workflow improvements.
- Strong analytical, organizational, and problem-solving abilities, with solid spreadsheet and reporting skills.
- Clear written and verbal communication skills, including the ability to explain technical ideas to non-technical audiences.
- Ability to juggle several priorities, work independently, manage sensitive information carefully, and learn new systems quickly.
- Bachelor’s degree in Human Resources, Business Administration, Information Systems, or a related area.
Preferred experience
- Hands-on experience with UKG, especially BI reporting; Workforce Management experience is considered an advantage.
- Exposure to Greenhouse or a comparable applicant tracking system.
- Experience managing a ticketing tool such as FreshService.
- Experience supporting learning or compliance systems such as Docebo.
- Familiarity with tools like Quantum, DocuSign, and Smartsheet.
- Experience supporting annual processes, audits, or compliance-related reporting.
- Background in global or multi-state work environments.
- Comfort working across process improvement, documentation, AI adoption, and cross-functional initiatives.
Success traits
- Strong ownership mindset with good judgment and a positive, can-do approach.
- Process-driven and systems-focused, while still valuing the realities of day-to-day HR operations.
- Well organized and reliable, with the ability to handle several priorities effectively.
- Curious, proactive, and comfortable learning new tools and concepts independently.
- Detail-oriented while keeping the end-user experience in mind.
- Inclined to document work, share knowledge, and help the team scale.
Compensation and benefits
The base hiring range for this role in Colorado is $71,000 to $90,000. Final pay will depend on factors such as knowledge, skills, and abilities. The company offers a flexible, collaborative environment and a set of benefits that includes generous PTO and holidays, parental leave, progressive healthcare options, retirement programs, education reimbursement, and a commuter offset in specific locations. Additional company perks include employee resource groups, team and company bonding events, competitive benefits, and global volunteering and community initiatives.
