About the Role

We are seeking a knowledgeable HR Operations Administrator to support HR operations tailored for UK compliance. This position is based in India with a hybrid work arrangement and requires availability during UK business hours or overlapping times agreed upon. The role involves comprehensive administrative and operational support throughout the employee lifecycle, focusing heavily on employee compliance and accurate record-keeping within the framework of UK Employment Law, GDPR, and care quality standards.

Core Responsibilities

  • Maintain and monitor employee compliance documentation including DBS checks, Right to Work status, passport validity, and Care Certificate records.
  • Track renewal and expiry dates, conducting timely follow-ups with employees and managers to ensure documentation currency.
  • Prepare documentation for DBS risk assessments and immediately notify HR leadership of any compliance issues or disclosures.
  • Manage the HR Operations shared mailbox, addressing queries from employees and managers within agreed service levels with professionalism and accuracy.
  • Process and maintain employee contractual changes via Change Control Forms such as salary, hours, position, department, reporting lines, and cost centre adjustments.
  • Conduct regular audits of employee files aligned with CQC and safer recruitment standards, identifying and supporting remediation of missing or invalid documentation to maintain audit readiness.
  • Update employee records within HR information systems including Dayforce, ensuring consistency, accuracy, and timely processing of all onboarding, offboarding, and contractual changes.
  • Generate monthly compliance and governance reports, submitting them punctuality and escalating risks or issues as necessary.
  • Handle confidential employee data securely in line with UK GDPR requirements and company policies, reporting any data breaches promptly.
