Role Overview
We are seeking a Front Office Associate to serve as the initial point of interaction for guests. The candidate should have an approachable, calm demeanor combined with attentiveness and discipline. A strong commitment to customer satisfaction is key, with the objective to ensure guests feel welcome and appreciated throughout their stay.
Key Responsibilities
- Welcome guests promptly upon arrival.
- Guide visitors to the correct personnel and office locations.
- Manage incoming phone calls by answering, screening, and forwarding them appropriately.
- Keep the reception area clean, organized, and stocked with necessary stationery such as pens, forms, and brochures.
- Provide accurate information to guests both in person and through phone or email communications.
- Handle the receipt, sorting, and distribution of daily mail and deliveries.
- Maintain security measures by adhering to safety protocols and controlling access via the reception desk, including maintaining a logbook and issuing visitor badges.
- Order and manage inventory of front office supplies.
- Perform guest check-in and check-out procedures.
Qualifications and Expectations
- Previous experience working as a Hotel Receptionist, Front Office Representative, or a similar capacity.
- Proficient knowledge of Opera PMS software is mandatory.
- Professional appearance and demeanor.
- Excellent verbal and written communication skills.
- Resourcefulness and proactive problem-solving abilities.
- Strong organizational skills to manage multiple tasks and prioritize effectively.
- Customer-focused mindset and attitude.
- High school diploma or equivalent; additional certification in Office Management is advantageous.
