This permanent, full-time role (80 hours per fortnight) based in Wellington requires occasional travel to Kāpiti, with support provided. Role Responsibilities

  • Coordinate facilities and property management across multiple regional locations
  • Manage procurement processes and supplier relationships
  • Oversee fleet and asset management
  • Drive improvements in office systems and operational procedures
  • Handle financial and administrative operations supporting the wider organisation

Role Context

Reporting to the Executive Assistant / Facilities and Administration Manager, this is a pivotal, strategic position requiring close collaboration with General Managers, Service Delivery Leads, finance personnel, and external vendors.

  • Established trusted relationships as the main contact for facilities and operations
  • Standardised procurement practices across regions leading to tangible cost savings
  • Achieved comprehensive visibility of assets and inventories at all sites
  • Implemented between three to five key processes boosting consistency and efficiency
  • Reduced administrative workload for Service Delivery Leads

Required Qualifications and Experience

  • Relevant tertiary qualification in Business Administration, Operations, Facilities Management, or related field
  • Three to five or more years of experience in facilities coordination, business services, or operations with multi-site exposure
  • Demonstrated experience managing suppliers, contracts, and service delivery
  • Hands-on experience with procurement, budget monitoring, and cost control
  • Proven capability to design and refine systems and processes
  • Strong communication and stakeholder management skills
  • Holder of a full, clean New Zealand driver’s licence
  • Legal entitlement to work in New Zealand
