Role Overview
An established global business in advanced intralogistics is seeking an Executive Assistant to be based in Singapore. The position suits someone who enjoys supporting senior leadership with both high-level administration and coordination across projects and business functions.
Key Responsibilities
- Take ownership of the CEO’s calendar, meetings, appointments, and travel planning, making sure schedules are handled accurately and smoothly.
- Prepare and coordinate steering committee and leadership meetings, including agendas, logistics, equipment setup, minute-taking, and follow-up on action items.
- Create, review, and maintain polished documents, reports, and presentations for internal and external use.
- Act as a first contact for visitors, clients, and partners while handling sensitive information with strict confidentiality.
- Assist the CEO with strategic and operational initiatives, stepping in as project coordinator or project manager when needed to help drive delivery.
- Track timelines, dependencies, and risks across departments to support execution of company priorities.
- Build decision-support materials, business analyses, and data models for leadership teams and committees.
- Draft internal leadership communications and external-facing content aligned with the organisation’s objectives and values.
- Keep communication flowing between the CEO’s office and internal teams regarding decisions, actions, deadlines, and active initiatives.
- Plan and manage executive events such as town halls and workshops for the Singapore office.
Candidate Profile
- Several years of experience supporting senior executives or management teams, ideally in multinational companies or consulting environments.
- A degree in Business Administration, Communications, Engineering, or a similar discipline is preferred, though strong equivalent experience is acceptable.
- Between 3 and 7 years of experience in an Executive Assistant, consulting, or project-focused role supporting senior leaders in fast-paced settings.
- Proven ability to develop executive-level analyses and presentations while managing multiple priorities and tight deadlines.
- Strong organisational ability and advanced administrative skills to handle competing demands effectively.
- Excellent spoken and written communication skills, with confidence working across global stakeholder groups.
- Strong working knowledge of Microsoft 365 tools, including Outlook, Teams, PowerPoint, Excel, and OneDrive.
- A self-starting, thoughtful, and dependable approach, with sound judgement, discretion, and close attention to detail.
