Role Overview
This position, based in Darwin, is ideal for a highly organized and forward-thinking Executive Assistant experienced in supporting senior leadership within fast-paced settings. The role begins as a fixed-term contract with significant potential to convert to a permanent position. The candidate will be adept at juggling multiple priorities, maintaining discretion, and providing exceptional support to the Managing Director & CEO.
Key Responsibilities
- Manage complex scheduling, prioritization, and communications for the MD & CEO, ensuring smooth coordination of meetings and engagements with stakeholders.
- Draft and prepare comprehensive agendas, minutes, reports, and correspondence with accuracy and timeliness.
- Serve as a critical liaison between the MD & CEO and various internal and external parties including Board members, government entities, and partners.
- Organize corporate events, sponsorships, and functions, overseeing all aspects from planning through financial administration.
- Arrange domestic and international travel plans, including itinerary, accommodation, and tracking expenses.
- Handle legal and compliance documentation, including license and certification management and contractual communications.
- Maintain organized record-keeping, filing, and document control systems, ensuring accessibility and currency of information.
- Support financial tasks such as invoice processing, expense reconciliation, and reporting.
- Manage sensitive personal and business matters with utmost confidentiality and professionalism.
- Coordinate personal appointments and commitments for the MD & CEO to align with professional obligations.
- Provide flexible, cross-functional support as needed to facilitate continuous executive and business operations.
Candidate Profile
- Proven experience as an Executive Assistant or senior administrative professional supporting high-level executives.
- Excellent organizational skills with the ability to multitask and set priorities effectively.
- Strong communication abilities to engage confidently with senior stakeholders, government officials, and partners.
- High levels of discretion and professionalism for handling confidential information.
- Proficiency with Microsoft 365 applications (Word, Excel, PowerPoint, SharePoint) and related business systems.
- Detail-oriented approach with a commitment to producing precise, high-quality work.
- Sound judgment and proactive problem-solving skills, especially when navigating ambiguity.
- Capacity to operate independently while contributing positively within a team dynamic.
- Experienced in managing events, travel, and logistics at an executive level.
