About the Role
James L Williams Middle East is looking for a meticulous and highly organized Document Controller to join their project team based in Riyadh, Saudi Arabia. The successful candidate will play a pivotal role in managing project documentation to ensure smooth execution and compliance with company and client standards on major construction initiatives.
Key Responsibilities
- Oversee and maintain all project-related documentation, complying with the Project File Index and established Document Control Procedures.
- Manage receipt, dissemination, tracking, filing, and archiving of all incoming and outgoing project documents, ensuring accurate record keeping and formal acknowledgements.
- Keep document registers and logs updated for various document types such as WIRs, MIRs, RFIs, NCRs, SORs, Method Statements, Damage Reports, IFC Drawings, among others.
- Coordinate submission of key documents including WIRs, MIRs, Method Statements, Builder's Work Requests, ensuring consultant review and approvals are acquired.
- Administer the project’s Electronic Document Management System, preferably Aconex, ensuring all documents are properly uploaded, distributed, and monitored.
- Prepare correspondence, reports, transmittals, and project documentation as required by the Project Director or Manager.
- Track overdue document actions and liaise with project teams, consultants, and subcontractors to guarantee timely responses and closure.
- Maintain red-line mark-ups, as-built documentation, and other records critical to engineering and construction activities.
- Support site office administration including document control, employee recordkeeping, managing office supplies, petty cash, and general administrative tasks.
- Ensure adherence to company quality standards, client requirements, and project documentation control protocols.
Candidate Requirements
- A Bachelor’s degree in any field; formal training or certification in Document Control is advantageous.
- Three to five years of experience as a Document Controller within construction, ideally on substantial building or infrastructure projects.
- Proficient in Electronic Document Management Systems, particularly Aconex.
- Strong skills in Microsoft Office, especially Excel, Word, and Outlook.
- Exceptional organizational, communication, time management, and detail-oriented capabilities.
- Ability to juggle multiple tasks while maintaining accuracy, confidentiality, and compliance.
- A proactive team player with excellent coordination, administrative, and problem-solving skills.
- Willingness to work onsite in Saudi Arabia.
- Experience working within the framework of consultant, subcontractor, and client document control processes.
- Familiarity with document control standards from Saudi Aramco, NEOM, ROSHN, Red Sea Global, or other significant projects in the region is beneficial.
