About the Company

Raptor, established in 2002, works to help protect every child, every school, every day. It supports schools around the world with SaaS and mobile tools, along with training and consulting services that cover the full school-safety lifecycle—from preventing and preparing for crises to responding and recovering afterward. Its product suite includes emergency management, campus movement, student wellbeing, and safety training and compliance solutions.

Role Summary

Reporting to the Manager of Contract Administration, this role oversees the contract workflow from negotiation through execution and acts as the primary contact for the Contract Administration function. The person in this position will also handle registrations with state and local agencies, manage applications and renewals for joint purchasing associations and cooperatives, and maintain the company’s contract records. The role partners closely with sales, finance/accounting, and customers.

Key Responsibilities

The Contract Administrator is responsible for improving and maintaining contract processes across the business, supporting a high-volume environment, and ensuring agreements are properly executed, stored, and tracked. This includes customer, vendor, partner, reseller, and confidentiality agreements, along with related legal paperwork and customer-required forms.

Additional Information

Work is generally carried out during standard business hours, but occasional after-hours availability may be needed to support customer or business requirements.

Because application volume is high, the company does not provide individual replies or feedback to every applicant. Candidates who are moved forward will be contacted directly.

Applicants living in California, Colorado, New Jersey, New York, or Washington may contact hr@raptortech.com to request a reasonable estimate of annual base pay and any eligible incentive compensation. Final compensation may be higher or lower depending on non-discriminatory factors such as relevant experience, location, knowledge, skills, and abilities, and this range may be updated periodically.

Raptor Technologies is an Equal Opportunity Employer. Employment decisions are made without regard to race, color, religion, gender, sexual orientation, gender identity or expression, national origin, age, genetic information, disability, veteran status, or any other protected characteristic under applicable law. This policy covers recruiting, hiring, placement, compensation, training, promotion, transfer, leaves, and termination.

Qualifications

The position calls for a bachelor’s degree in Business Administration or a related field; a law degree is strongly preferred. Around five years of prior experience in contract administration within a corporate environment is expected, with software or technology company experience preferred. Prior paralegal experience is also an advantage.

Candidates should be comfortable using contract management and electronic signature tools, and familiarity with Salesforce and Conga is preferred though not required. The role also requires experience working with legal counsel on contract terms, along with knowledge of contract law, the software industry, accounting principles, and finance.

Success in this position depends on strong attention to detail, clear written and verbal communication, independent and team-based work capability, analytical problem-solving, organization, time management, relationship-building, consensus-building, professionalism, and a customer-focused mindset. Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook is also required.

Responsibilities

  • Create and keep current standard templates for customer agreements, privacy policies, end-user license agreements, and mutual non-disclosure agreements.
  • Build and maintain efficient company-wide processes for creating, executing, managing, storing, and cataloging contracts across customer, vendor, partner, reseller, and confidentiality agreements.
  • Support sales and finance teams in negotiating and finalizing customer contracts in a fast-paced, high-volume setting.
  • Prepare and process vendor forms and other legal documents requested by customers.
  • Coordinate with sales teams to register the company with the state and local agencies where it operates.
  • Manage applications, renewals, and updates for contracts with joint purchasing associations and cooperatives such as GSA, Buyboard, and TIPS.
  • Handle other related duties as assigned.

Requirements

  • Bachelor’s degree in Business Administration or a similar field; legal degree strongly preferred.
  • About 5 years of experience in contract administration within a corporate environment.
  • Experience in a software or technology company preferred.
  • Paralegal background preferred.
  • Experience with contract management systems and e-signature platforms.
  • Salesforce and Conga experience preferred.
  • Exposure to contract terms discussions with legal counsel.
  • Understanding of contract law, software business practices, finance, and accounting fundamentals.
  • Excellent accuracy and ability to identify inconsistencies in contracts.
  • Strong written and spoken communication skills.
  • Ability to work independently and collaboratively.
  • Strong analytical thinking and troubleshooting skills.
  • Well-developed organization and time management skills.
  • Ability to build productive working relationships and reach agreement across teams.
  • Professional, positive, and customer-oriented approach.
  • Proficient with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Willingness to work occasional off-hours when business or customer needs require it.
