Role Overview
The Administrative Assistant position is a full-time on-site role located within the Greater Vancouver Metropolitan Area. This role entails facilitating the daily operations of the office, including managing calendars, organizing meetings, handling documentation both electronically and physically, and maintaining filing systems. Responsibilities also include answering phone calls and emails, welcoming guests, and coordinating office necessities such as supplies and booking meeting spaces. Supporting executive functions by assisting with scheduling, preparing reports, presentations, and enhancing communication among internal teams and external partners is essential.
Key Qualifications
- Strong skills in administrative and clerical duties including scheduling, filing, data management, and document preparation.
- Excellent professional communication and phone etiquette for managing calls, messages, and face-to-face interactions.
- Experienced in executive administrative support, including calendar organization and meeting coordination.
- Effective organizational and time management abilities, with a keen attention to detail and multitasking capability.
- Proficiency in office productivity software such as Microsoft Office or Google Workspace, alongside basic familiarity with digital collaboration tools.
- Ability to work on-site in the Greater Vancouver Metropolitan Area while effectively engaging with various teams and stakeholders.
- Prior experience in administrative or office support roles is preferred; experience related to compliance, auditing, or professional service industries is beneficial.
- Minimum educational requirement is a high school diploma; additional post-secondary education in business administration or a related discipline is advantageous.
