About the Role
Hanwha Vision Europe is seeking a diligent and proactive Administrative Assistant to join their Business Administration team at their European Headquarters in Chertsey, Surrey. This full-time, fixed-term contract role, lasting 12 months, offers the chance to contribute to a global leader in video surveillance and security technology. As part of this role, you will be instrumental in ensuring smooth daily operations through a variety of administrative tasks, supporting multiple departments and reception functions.
Key Responsibilities
- Organize and maintain digital filing systems and documentation accurately.
- Manage team calendars, coordinating meetings, onboarding of new starters, and monitoring important renewal deadlines.
- Record and log invoices while maintaining precise cost tracking spreadsheets.
- Assist with administrative processes, including raising approvals and document proofreading and formatting.
- Update spreadsheets and track response data meticulously.
- Provide broad administrative support across business teams to facilitate efficient operations.
- Support reception duties by greeting visitors and ensuring a welcoming atmosphere.
- Book meeting rooms and arrange necessary hospitality for both internal and external meetings.
- Offer reception cover when required to maintain seamless front-of-house service.
Candidate Profile
- Previous experience in an administrative or office support role is preferred.
- Strong organizational skills paired with excellent time management abilities.
- Detail-oriented with the capability to prioritize multiple responsibilities effectively.
- Proficient in IT applications including Microsoft Word, Excel, and Outlook.
- Exceptional written and verbal communication skills.
- Ability to work autonomously while also collaborating efficiently within a team environment.
- Positive attitude and eagerness to provide support where needed.
- Experience with policies, compliance, or business processes would be beneficial.
- Prior exposure to reception or front-of-house support is advantageous.
Work Schedule and Location
This position is office-based at Heriot House, Heriot Road, Chertsey, Surrey KT16 9DT. The standard working hours are Monday to Friday, from 9:00 AM to 5:00 PM, with occasional flexibility required to accommodate business demands. Some travel within the UK or internationally may be expected.
