Position Summary
The Administrative Accountant at Eternell Clinic in Jumeirah 1, Dubai, will handle comprehensive accounting, financial documentation, administrative coordination, procurement assistance, and operational record-keeping to support smooth clinic operations.
Key Duties
- Keep precise daily records of all financial transactions including income, expenses, purchases, payments, and receipts.
- Manage petty cash with required supporting documentation.
- Prepare revenue and expense reports on daily, weekly, and monthly bases.
- Reconcile all forms of collections such as cash, cards, bank transfers, payment gateways, insurance claims, and installment services like Tabby.
- Regularly perform bank reconciliations and resolve discrepancies.
- Generate invoices, payment vouchers, receipt vouchers, credit and debit notes accurately.
- Track accounts receivable and ensure timely follow-up on outstanding payments.
- Maintain accounts payable records and coordinate vendor payments efficiently.
- Support month-end processes including profit and loss statements, cash flow reports, budgets, and management reporting.
- Liaise with external accountants, auditors, tax consultants, and financial advisors when necessary.
- Verify patient billing for accuracy and reconcile treatment records, appointments, and payments.
- Manage and monitor billing adjustments such as discounts, refunds, complimentary services, and package balances.
- Work with clinic staff to resolve billing discrepancies and prepare daily closing reports.
- Ensure VAT compliance by maintaining correct invoices, assisting with VAT filing, and coordinating regulatory documentation.
- Oversee procurement activities by obtaining vendor quotations, raising purchase requests, approving purchase orders, and managing vendor payments and contracts.
- Maintain inventory records for clinic supplies, perform stock verification, track expiries, and coordinate stock needs with relevant staff.
- Handle administrative tasks including filing, correspondence, contract and license management, office maintenance, and support services.
- Assist with human resources administration such as maintaining employee files, attendance, payroll documentation, onboarding/offboarding processes, and confidential record-keeping.
- Prepare comprehensive reports for management on collections, payments, vendor liabilities, cash flow, and inventory status to support budgeting and planning.
Qualifications & Experience
- Prior experience is preferred in healthcare or related settings such as clinics, hospitals, aesthetic centers, or wellness facilities.
- Solid understanding of bookkeeping, invoicing, bank reconciliations, accounts payable and receivable, and petty cash processes.
- Basic familiarity with UAE VAT requirements and financial documentation standards.
- Proficient in Microsoft Excel, Microsoft Office suite, and accounting software (knowledge of Tally, QuickBooks, Zoho Books, or Xero is advantageous).
- Effective English communication skills, both written and verbal.
Work Environment and Requirements
- Onsite position based at Eternell Clinic, Jumeirah 1, Dubai.
- Work schedule may include weekends and public holidays as per the clinic's roster.
- Flexibility needed during critical periods such as month-end, audits, inspections, procurement deadlines, or urgent operations.
- Adherence to stringent professional standards including honesty, confidentiality, accuracy, and discipline is mandatory.
- Any financial discrepancies, unauthorized transactions, misuse of data, or breaches of confidentiality will be subject to disciplinary measures per company policies and UAE law.
