Role overview
This is a full-time, on-site position in St Andrews focused on managing luxury golf tours from the first enquiry through to follow-up after the trip. The Tour Coordinator works closely with clients to understand their preferences, then organises tee times, transport, 5-star accommodation, restaurant bookings, and a trip-specific app-based itinerary. The role also includes regular contact with golf venues, hotels, transport suppliers, and other partners to confirm plans, handle amendments, and manage special requests. In addition, the coordinator supports logistics while tours are underway, delivers premium customer service, and assists with sales by replying to enquiries, preparing proposals, and building lasting client relationships.
Working pattern and conditions
The role includes 40 hours per week, with a 1-hour paid lunch break. Seasonal overtime may be required. Staff receive 34 days of paid holiday. The starting salary is stated as £28,000 to £32,000 per year, depending on skills and experience, and there is also a bonus structure. Additional benefits include private healthcare and an enhanced pension contribution. The office environment is described as positive and supportive, with an iMac, MacBook Air, and iPhone provided for work. Staff uniforms are supplied by KJUS and Peter Millar.
Key duties
- Build and manage bespoke luxury golf itineraries for clients from initial enquiry to post-trip follow-up.
- Speak with clients to understand their preferences and tailor each journey accordingly.
- Arrange tee times, transport, fine-dining reservations, and premium accommodation.
- Create and maintain client-specific digital itineraries within an app-based platform.
- Coordinate directly with golf courses, hotels, transport providers, and other partners to secure arrangements.
- Manage changes, special requests, and live tour logistics as needed.
- Host client groups on location and ensure an exceptional standard of service throughout the trip.
- Prepare proposals, respond to enquiries, and support sales and repeat business.
- Handle invoicing, receipting, and upkeep of client accounts.
- Make payments to suppliers and industry partners.
Skills and experience
- Experience in planning events, tours, or complex itineraries.
- Strong customer service and professional communication abilities.
- Confidence with numbers, accuracy, and handling valuable client accounts.
- Sales awareness, including enquiry handling and proposal preparation.
- Excellent organisation, time management, and attention to detail.
- Comfort using Office 365, a CRM system, and digital itinerary tools.
- Ability to work collaboratively in a small on-site team and adapt quickly to changing schedules.
- Willingness to work outside standard office hours when required.
- Previous exposure to travel, hospitality, luxury services, or golf is beneficial.
- Relevant study or professional background in tourism, hospitality, events, or a related area, or equivalent experience.
