About the Role
The Supply Chain & Operations Coordinator acts as the pivotal liaison for managing material planning, inventory control, transport logistics, order fulfillment, and operational administration. This position ensures seamless movement of materials, products, and information among suppliers, warehouses, manufacturing units, customers, and transport providers, all aimed at supporting production needs and maximizing customer satisfaction. Additionally, the role involves supervising one administrative staff member and spearheading process enhancements across supply chain and operational functions.
Reporting Relationships
- Directly reports to the General Manager.
- Collaborates closely with Logistics Manager or Warehouse Supervisor to facilitate inventory transfers, set shipping priorities, and coordinate warehouse activities.
- Oversees and guides one member of the administrative team.
- Engages cross-functionally with Purchasing, Production, Customer Care, Finance, Engineering, and Quality departments to align operational goals.
Core Responsibilities
- Oversee inventory levels of raw materials, packaging, and finished items.
- Coordinate material needs alongside Purchasing and Production to guarantee continual operations without disruptions.
- Assist inventory replenishment planning to maintain ideal stock quantities.
- Detect potential shortages proactively and communicate risks along with mitigation strategies.
- Facilitate supplier communications regarding delivery timelines, shortages, and order modifications.
- Contribute to implementing inventory control systems and continuous improvement efforts.
- Arrange both inbound and outbound shipments, including domestic and international freight.
- Schedule transportation with carriers, brokers, and third-party logistics providers and monitor shipment statuses to promptly resolve delays or issues.
- Handle shipping documents such as Bills of Lading, customs papers, freight invoices, and shipment logs.
- Manage intercompany material transfers ensuring timely deliveries.
- Expedite critical shipments to meet urgent customer or production demands.
- Administer customer order processing and fulfillment workflows, track orders from initiation to delivery ensuring commitments are met.
- Coordinate with Customer Care and Production teams to resolve order concerns and accommodate special requests or rush orders.
- Maintain accurate inventory records within ERP systems and support cycle counts and annual physical inventory checks.
- Investigate discrepancies in inventory and implement corrective measures.
- Partner with warehouse teams to enhance the efficiency of receiving, storage, and shipment processes.
- Monitor inventory turnover rates, identifying opportunities to minimize excess or obsolete stock.
- Provide daily leadership and direction to one administrative employee, managing task assignments, workloads, and supporting performance development.
- Maintain departmental documentation, reports, and performance tracking metrics.
- Develop and revise standard operating procedures to stay aligned with best practices.
- Ensure accurate supply chain and inventory data management within ERP systems, preferably Dynamics 365, producing reports on inventory, purchasing, shipping, and operational KPIs.
- Analyze trends to recommend efficiency enhancements and cost reductions.
- Foster interdepartmental collaboration with teams including Production, Engineering, Purchasing, Quality, Customer Care, and Finance.
- Participate in planning sessions to align material availability, production schedules, and customer demand.
- Support new product introductions and operational projects aimed at process improvements.
- Champion continuous improvement initiatives such as Lean Manufacturing and ensure compliance with company policies, transportation laws, customs regulations, and safety standards.
- Track key performance indicators contributing to operational excellence.
Qualifications
- Post-secondary diploma or degree in Supply Chain Management, Logistics, Operations Management, Business Administration, or a comparable discipline.
- Between three and five years of experience in supply chain, logistics, inventory control, purchasing, or operations coordination roles.
- Background in manufacturing environments is advantageous.
- Proficiency with ERP systems, especially Microsoft Dynamics 365, is preferred.
- Experience managing domestic and international shipments is considered a plus.
