Role overview
This position is responsible for keeping all consultant, developer, and internal submissions properly recorded, reviewed, approved, archived, and easy to retrieve in line with AD Ports’ document control procedures.
Core responsibilities
- Oversee document control processes for planning, architectural, engineering, and authority-related submissions.
- Make sure every document is logged, monitored, issued, and filed according to AD Ports’ standards.
- Keep both electronic and physical filing systems orderly and structured.
- Track document routes, review stages, and approval progress.
- Apply consistent numbering, revision handling, and version tracking across all records.
- Coordinate document distribution to internal stakeholders, consultants, and authorities.
- Assist with authority submissions by organizing the required document sets and related records.
- Compile document logs and status reports covering submissions and approvals.
- Check records for completeness, accuracy, and traceability.
- Provide training to project teams and consultants on document control practices.
- Protect confidential information through secure document handling.
- Ensure records are kept in line with retention and document management policies.
- Use document control platforms and Microsoft Office tools effectively.
- Handle high volumes of technical documentation without losing accuracy.
- Understand and apply document lifecycle management principles.
- Work closely with consultants and internal teams to follow standardized document procedures.
- Give consultants guidance on how to submit documents correctly.
- Train and assess direct reports.
- Watch submission activity and resolve missing or incorrect paperwork.
People management
- Align consultants and internal teams with approved document control practices.
- Run onboarding and orientation sessions for consultants to improve submission quality.
- Coach team members and evaluate the performance of reportees.
- Track submission flows and correct incomplete or inaccurate documentation.
Qualifications
- A degree in business administration or a related discipline is required; a master’s degree or equivalent is preferred.
- Strong written and spoken English is essential, and Arabic is an advantage.
- At least 12 years of experience managing engineering master planning, architectural, and authority-related documentation across multiple disciplines.
- Minimum 5 years of local experience.
