Role Overview

The Operations Specialist position in Mapon's newest Irish office supports daily financial, administrative, and operational functions to ensure seamless coordination between the local branch, partners, and headquarters. This hands-on role involves financial administration, warehouse management, and system support. The candidate must be organized, dependable, tech-adept, and collaborate effectively with finance, sales, warehouse, HR, and support teams.

Key Responsibilities

  • Manage financial and administrative tasks, including contract and stock storage, debt recovery cooperation, payment reconciliation with HQ, maintaining compliant financial records, VAT and financial reporting, payroll assistance, and confidentiality of sensitive information.
  • Oversee warehouse operations such as order fulfillment, shipment coordination, stock auditing in alignment with HQ, daily inventory accounting, and identifying process improvements.
  • Support client and internal teams by handling client inquiries, coordinating cross-departmental communication, maintaining CRM data, assisting sales with subscriptions and invoicing, and facilitating training for system updates.
  • Administer HR and office functions, including payroll data accuracy, travel logistics, policy documentation updates, and promoting local compliance and communication.

Desired Qualifications and Skills

  • Between 2 and 4 years of related experience in business administration, finance, or operations.
  • Solid understanding of accounting principles and operational processes.
  • Experience or familiarity with software such as Dynamics 365 ERP, Sage, Stripe, HubSpot CRM, Moneo Warehouse Management, payroll platforms like BrightHR and Thesaurus, and collaboration tools including Google Workspace, SharePoint, and Outlook.
  • Exceptional organizational, multitasking skills with a structured, proactive mindset.
  • Strong attention to detail, accuracy, and discretion.
  • Excellent English communication skills, both oral and written.
  • Able to work independently yet collaborate across teams spanning multiple countries.
