Operations Executive - UAE Business Setup & Government Services

About the Role

10XMHub, a Dubai-based corporate services consultancy, is seeking a diligent Operations Executive to manage company formation and visa processes across UAE Mainland, Free Zones, and Offshore jurisdictions. This full-time onsite position at Business Bay, Dubai requires prior hands-on operational experience in UAE business setup and related government services.

Key Responsibilities

• Oversee complete incorporation processes for Mainland, Free Zone, and Offshore companies within the UAE.
• Advise clients and coordinate necessary documentation for company formation, renewals, amendments, and closures.
• Handle trade license tasks including applications, approvals, name reservations, and MOA changes.
• Manage establishment cards, labour and immigration files, and other registrations.
• Coordinate investor, shareholder, employee, and dependent visa applications and related procedures.
• Facilitate entry permits, status changes, medical fitness checks, Emirates ID applications, visa stamping, and cancellations.
• Engage directly with UAE government authorities such as DET, MOHRE, GDRFA, ICP, Dubai Courts, Notary Public, and Free Zone administrations.
• Maintain clear, proactive communication with clients regarding documentation, timelines, fees, and case statuses.
• Ensure accuracy and completeness of documents prior to submission to avoid delays or rejections.
• Track applications closely and follow up consistently with relevant authorities until completion.
• Maintain organized client records, KYC documents, and compliance files using company CRM systems.
• Monitor critical deadlines including license renewals, visa expirations, and other regulatory obligations.
• Coordinate with internal teams such as accounting, compliance, banking, legal, and sales as needed.
• Identify operational bottlenecks and suggest improvements to processes and SOPs.
• Regularly update management with case progress reports and operational insights.
• Stay updated on UAE business setup, immigration, and regulatory changes.

Qualifications and Skills

• At least 1 year of recent practical experience in UAE business setup or corporate services operations.
• Solid understanding of company formation processes in both UAE Mainland and Free Zones.
• Experience interacting with authorities including DET, MOHRE, GDRFA, and ICP.
• Proven knowledge of UAE investor and employment visa procedures.
• Ability to manage multiple client cases independently with high attention to detail and adherence to deadlines.
• Strong English communication skills, both written and verbal.
• Proficiency in Microsoft Office and familiarity with CRM or workflow management tools.
• Currently residing in the UAE and available to work onsite in Business Bay, Dubai.

Preferred Experience

• Experience handling Offshore company formations as well as multiple Free Zone authorities such as IFZA, Meydan, DMCC, JAFZA, RAKEZ, SPC Free Zone, SHAMS, or similar jurisdictions.
• Knowledge of corporate amendments, share transfers, liquidations, and license cancellations.
• Understanding of UAE Corporate Tax, VAT, and Ultimate Beneficial Ownership compliance.
• Additional language skills are advantageous.
