Job Overview
This role supports the Principal of an elementary school (grades K-5) by managing key administrative tasks including correspondence, calendar coordination, and school-wide communications.
Key Duties
- Provide secretarial support to the Principal by preparing communications for approval and signature.
- Manage and coordinate the Principal’s schedule as well as school-wide calendars.
- Organize and relay district-level information such as bulletins, meetings, and deadlines to the Principal.
- Oversee scheduling and task assignments for the Principal’s clerical staff and other office personnel.
- Attend all mandatory administrative meetings and training sessions.
- Ensure sufficient office supplies and materials are stocked before requirement dates.
- Act as the main contact for staff, substitutes, students, parents, and community regarding general campus operations.
- Use attendance reports to track daily staff attendance and reconcile records on monthly, bi-weekly, and supplementary bases.
- Manage supplemental pay processes, including creating activity codes, reviewing pay reports, reconciling timecards, and maintaining documentation.
- Ensure compliance with supplemental pay policies for all campus personnel.
- Use budgeting reports to monitor and adjust account line items appropriately.
- Maintain and manage budgets to ensure funding sufficiency and alignment with the Campus Action Plan.
- Handle requisition and reconciliation processes: generate requisitions, verify funding, maintain support documents, receive materials/services, and monitor payments.
- Maintain records linked to grant expenditures and Activity Funds, including contracts, materials, events, field trips, and staff usage.
- Conduct duties related to Activity Funds management such as entering receipts, balancing statements, counting money, and preparing bank deposits daily.
- Perform additional duties as assigned by the Principal.
- Consistently exhibit regular and punctual attendance at the assigned worksite.
Work Environment
The work setting typically involves moderate noise levels. Travel within the school district is a regular part of the role. Remote work or alternate arrangements are not applicable since punctual onsite attendance and completing all duties at the worksite are essential.
Qualifications
- High school diploma with a minimum of three years of clerical or secretarial experience, or an Associate’s Degree in a business-related field.
- Solid understanding of district operations, administrative policies, and organizational structure.
- Proficient computer skills, specifically with Windows OS and Microsoft Office suite applications.
- Ability to adapt flexibly to the demands of a fast-changing environment.
- Commitment to staying updated with relevant professional developments.
Compensation
The minimum annual salary for this position is $40,572, with a median salary of $52,020.
Location
Position is based at Carr Elementary in Dallas, TX.
