About the Position
Accugile Technologies is seeking a proactive Office Coordinator to support its expanding team. This role will primarily involve executive assistance to the managing director, managing office operations, and nurturing a lively company culture.
Primary Responsibilities
- Offer administrative support to the founders and leadership team.
- Manage phone calls, welcome guests and clients, schedule internal meetings, maintain the office environment, and communicate with vendors to uphold relationships.
- Assist with research initiatives relevant to clients and to identify new business prospects.
- Oversee vendor management and subscription services for the firm.
- Purchase and maintain inventory of office and break room supplies while managing the budget effectively.
- Handle incoming correspondence—both physical mail and digital—to open, sort, and distribute appropriately.
- Examine incoming emails, memos, submissions, and reports to assess their importance and act accordingly.
- Collaborate with the people team to support daily operational functions.
- Organize office events such as happy hours and other social functions.
- Coordinate recruitment activities across all organizational levels.
- Facilitate the onboarding process for new employees.
- Support identification and evaluation of potential partners and manage inbound leads.
Required Skills and Experience
- A minimum of two years experience in office administration or a similar office environment.
- Highly organized, data-driven, yet personable with strong interpersonal skills.
- Interest or passion for internet and social media marketing is desirable.
- Excellent written and oral communication capabilities.
- Strong organizational aptitude and time management skills.
- Ability to handle confidential information with discretion.
- Adept at multitasking and managing several projects simultaneously.
- Experience managing document control during projects, including updating drawing lists and other relevant project documentation.
