Job Overview
The Support Services Manager is responsible for leading and supervising best practice implementation across General Services, Procurement, Human Resources, and IT within ATA. This role ensures the establishment of effective communication systems and fosters a positive organizational image. The manager also plans and delivers reliable operational services such as transportation, security, warehousing, catering, landscaping, maintenance, and procurement to meet ATA's current and future needs.
Key Responsibilities
- Ensure the enforcement of Employee Relations policies, systems, and standards compliant with regulations.
- Provide support and assistance to ATA employees concerning Employee Relations services and requirements.
- Oversee disciplinary processes including terminations, ensuring proper adherence to HR policies.
- Participate in recruitment interviews for ATA positions.
- Direct facility audits and maintenance planning to align with organizational priorities and needs.
- Supervise landscaping projects ensuring compliance with HSE standards.
- Manage the delivery of cleaning services maintaining high-quality standards.
- Develop and implement security procedures, contingency plans, and emergency preparedness to safeguard individuals and assets.
- Ensure compliance with UAE legislation and best practices in protecting property, staff, and students.
- Oversee transportation services ensuring safety, adherence to traffic laws, and punctuality.
- Manage procurement by establishing effective agreements, timely sourcing, and approval of purchase requisitions and work orders.
- Approve disposal of surplus materials following company procedures.
- Engage in vendor and contractor negotiations related to ATA requirements.
- Supervise IT policies and infrastructure to support ATA’s training mission and academic management.
- Formulate long- and short-term operational plans aligned with unit objectives, translating these into departmental performance targets.
- Develop and monitor the department budget, managing expenditures carefully to maintain cost efficiency.
- Create and enforce departmental policies, procedures, standards, and internal controls aligned with company guidelines and international standards.
- Support performance management initiatives including KPI development, monitoring, and adherence to company processes.
- Promote employee development through succession planning, talent pipelines, and personal development plans focusing on UAE Nationals.
- Review and suggest improvements to the organizational structure to optimize human capital use and sustainability.
- Identify and manage risks within the department, ensuring compliance with corporate ethics and policies.
- Foster a culture of innovation, continuous improvement, and change management to enhance department operations.
- Implement and promote HSE culture, ensuring compliance with policies, procedures, and applicable laws with adequate training.
- Prepare accurate Management Information Systems (MIS) reports and progress updates for senior management.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Arts, or equivalent; familiarity with basic accounting is preferred.
- At least 15 years of professional experience including a minimum of 6 years in managerial roles in General Services, Public Relations, or Administration, preferably within Oil and Gas or reputable organizations.
- Proficiency in English and Arabic languages.
Communication and Working Relationships
- Regular interaction with Senior Vice President of the Technical Academy and teams across General Services, Procurement, Human Resources, and IT.
- Engagement with company headquarters and relevant government bodies.
