Overview
The Maintenance Coordinator plays a vital role in overseeing and managing maintenance-related projects, ensuring collaboration between internal teams and external partners, and maintaining smooth administrative operations within the maintenance department. Key duties include budget preparation, warranty oversight, customer satisfaction monitoring, and thorough project handovers, all while complying with organizational policies.
Primary Responsibilities
- Manage documentation and archives according to project checklists to facilitate smooth project completion and handover.
- Work closely with Project and Maintenance Supervisors to inspect sites and coordinate New Store Openings and remodeling projects.
- Communicate effectively with suppliers, operational staff, and field teams to monitor progress and adhere to timelines for critical maintenance initiatives such as Unipole, Drive-Thru, and AC projects.
- Create and maintain comprehensive trackers for Annual Maintenance Contracts (AMCs), recruitment, business review meetings, performance development reviews, and inventory management, ensuring data accuracy and timely reporting.
- Provide administrative assistance including preparation of presentations for various review meetings, business cases, standard operating procedures, and management information systems reports.
- Organize meetings with proper scheduling, documentation, and follow-up to ensure all stakeholders remain well-informed.
- Develop and manage the department's operating (OPEX) and capital (CAPEX) expenditure budgets for the United Arab Emirates region, alongside maintaining detailed equipment order sheets and procurement documentation.
- Oversee warranty service providers' performance, compiling reports and relaying findings to procurement and other stakeholders to resolve any issues.
Required Skills and Qualifications
- Excellent organizational and administrative capabilities.
- Proven capability to manage multiple projects and interact efficiently with diverse stakeholders.
- Proficiency in Microsoft Office applications, including Excel, PowerPoint, and Word, for reporting and presentations.
- Strong communication and interpersonal skills for effective engagement with suppliers, internal teams, and vendors.
- Analytical mindset with problem-solving aptitude and scrupulous attention to detail for accurate record maintenance.
- Bachelor’s degree in Business Administration, Facilities Management, Engineering, or related fields.
- Experience in maintenance administration, project coordination, or facilities management.
- Familiarity with budgeting, procurement, and vendor management processes.
