Overview

The Legal Document Specialist plays a crucial role in initiating cases correctly by transforming incoming referrals into fully detailed, accurately coded, and deadline-compliant matters. Operating under the guidance of attorneys, this position follows specific practice packs that include checklists, timers, and tagging systems to ensure smooth and error-free workflow for production teams. Key to this position’s success are accuracy, consistency, and disciplined record keeping.

Reporting Structure

This role reports to either the Legal Intake & Setup Manager or the Practice Intake & Setup Supervisor relevant to areas such as Bankruptcy or Foreclosure.

Key Responsibilities

  • Retrieve new referrals from approved channels and acknowledge them within the stipulated Service Level Agreement (SLA) according to the source, such as portal or email.
  • Create the matter in the system, enter initial deadlines and milestones, and allocate the case to the appropriate production queue.
  • Name and catalog documents adhering strictly to firm standards; proactively request any missing documentation based on the minimum-document checklist applicable to the practice pack.
  • Confirm jurisdiction details including court, division, and judge where necessary, and verify party and property information before transferring the case forward.
  • Conduct duplicate checks using identifiers like borrower details, loan number, property address, or case ID and document outcomes.
  • Implement standard naming and tagging conventions (including Practice, State, Client, Source, and if applicable, Cluster) to facilitate tracking, routing, reporting, and audit compliance.
  • Assign initial task owners and set internal reminders linked to deadlines and milestones.
  • Document intake observations clearly, outlining present documents, missing items, risk factors or special conditions (e.g., sale or mediation dates, bar dates, appeal status), and any client-specific directions.
  • Manage UNK triage by temporarily coding incomplete referrals while gathering basic information, then update to an appropriate case type with justifications before subsequent handoff.
  • Adhere strictly to firm policies on privacy and data protection when handling sensitive documents such as statements, loan histories, title reports, or court dockets.

Qualifications and Skills

  • Exceptional attention to detail with a focus on accurate and consistent data entry, document naming, and tagging.
  • Comfortable working within checklist-driven processes and queuing systems while achieving daily productivity and quality benchmarks.
  • Basic understanding of legal documentation, court docketing systems, and financial or transactional records.
  • Proficient in handling PDF files and skilled with Microsoft Office suite or Google Workspace applications.
  • Ability to write clear and concise notes, escalate issues promptly, manage time effectively, and maintain strict confidentiality.
