Role overview
This position at Hyatt Regency Ludhiana is responsible for protecting hotel revenue by auditing daily income, cash activity, and supporting records across departments. The role also supports accounting administration, helps maintain compliance, and works closely with front office, food and beverage, and finance teams to ensure all receipts and transactions are properly recorded.
Operational responsibilities
- Confirm that three quotations are collected for every purchase item.
- Deliver professional, courteous, and attentive service to internal teams and visitors.
- Address guest and employee queries efficiently, escalate unresolved complaints, and ensure timely follow-up.
- Build and maintain strong working relationships with guests and colleagues.
Administrative responsibilities
- Keep well-organized files and records for all relevant audit documents.
Financial responsibilities
- Apply Hyatt International income audit standards to create an effective control system for hotel revenues and receipts.
- Prepare revenue summaries needed by Accounting and Control for daily and monthly reporting.
- Share revenue data with department heads so they can assess profitability of their own cost centres.
- Monitor data entered by operational staff and verify accuracy.
- Check that all revenue due to the hotel has been received and recorded correctly, including audit review of Night Audit, Front Desk, and Food & Beverage cashiers.
- Review daily room and food & beverage revenue summaries along with supporting transaction reports from the night audit process.
- Audit income from telephone, telex, and fax unless the system automatically charges these to the guest bill.
- Check revenue from other operated outlets such as garage, pro shop, laundry, and business centre for completeness.
- Ensure banquet revenue for the day has been fully captured.
- Match the General Cashier’s daily report with actual cash movement.
- Track cash shortages and overages, investigate major variances, and report them to the Director of Finance’s office.
- Verify that the computerized daily report includes every transaction for the day.
- Examine paid-outs and allowance vouchers for justification, approval, and proper support.
- Review complimentary and house-use room documentation, as well as rooms sold at rates different from rack potential.
- Spot-check standard and contractual room rates in the system for accuracy.
- Review house-use and entertainment checks to ensure they are proper, signed, and authorized.
- Audit food and beverage outlet checks on the negative check list and verify explanations and approvals, including outlet captain or automatic kitchen order support.
- Inspect voided restaurant checks for correct approval and explanation.
- Check the sequential use of food and beverage checks, foreign exchange vouchers, and official receipts, and investigate any gaps or irregularities.
- Review guest ledger balances daily and investigate unusual movements.
- Look into late charges and skipper cases, then forward full details to the Credit Manager for action.
- Ensure all employee city ledger accounts are closed at month-end.
- Perform surprise checks of rooms, fitness centre attendance, car park collections, cash floats, and foreign currency holdings.
- Oversee the proper execution of the night audit program by Front Office staff.
- Adopt new technology and equipment that improve productivity and reduce manual work.
People responsibilities
- Coach Accounting Clerks so they work in line with operational, financial, and administrative principles.
- Supervise Accounting Clerks closely and ensure work is completed in accordance with policy, procedure, and applicable law.
- Assign tasks appropriately and support employees with the resources they need while maintaining operational and safety standards.
- Support training efforts to improve employee skill and knowledge.
- Monitor team morale and provide feedback and development mechanisms.
- Assist with annual performance discussions when needed and support employee development goals.
- Help implement The People Philosophy and reinforce Hyatt values and culture.
- Ensure employees understand and follow workplace rules and regulations.
- Make sure staff comply with hotel, company, and local safety, fire, hazard, and security requirements.
Other duties and expectations
- Participate in training programs and meetings whenever required.
- Maintain knowledge of statutory rules related to taxes, employee matters, and industrial relations.
- Conduct oneself responsibly and represent the hotel and Hyatt International positively at all times.
