Role overview
AAA Club Alliance is hiring an experienced Executive Assistant to support the Chief Financial Officer and the Executive Vice President of Membership & Automotive Operations. This position covers a broad mix of administrative and coordination tasks for the business line, and it requires someone who can work independently, handle sensitive information with care, and keep priorities moving even when executives are unavailable.
Key responsibilities
- Provide day-to-day administrative support for the EVP, including scheduling, call screening, correspondence handling, filing, and communication management.
- Maintain a demanding executive calendar with close attention to detail, anticipating conflicts, changes, and potential issues before they arise.
- Keep work moving forward and ensure deadlines are met while managing multiple priorities at once.
- Prepare correspondence, assignments, and reports, and use Microsoft Office tools such as Excel and PowerPoint for regular PC-based work.
- Represent the EVP and AAA Club Alliance or AAA Club Alliance Insurance Group when interacting with members, insureds, board members, AAA National, other AAA clubs, internal teams, and external contacts.
- Organize major company meetings such as Town Meetings and Manager/Supervisor Meetings, including scheduling, venue coordination, logistics, transportation, presentation needs, and technology setup.
- Support special projects in an analyst capacity by creating reports, gathering data, collecting opinions, performing analysis, and summarizing exceptions and findings.
Qualifications
- Associate’s degree or an equivalent combination of education and experience.
- At least 8 years of professional administrative experience.
- Ability to stay composed in a fast-moving, high-visibility environment while balancing competing demands.
- Strong proficiency with PCs, organizing work, coordinating activities, preparing reports, researching online, and managing several assignments at the same time.
- Excellent relationship-building and communication skills, with the ability to earn trust and work effectively with executives, board members, and both internal and external stakeholders.
- High standards of professionalism, sound judgment, and discretion when handling confidential or sensitive information.
- Ability to adapt quickly, remain flexible, and respond well to organizational changes.
- Proficiency in Microsoft Office, especially Outlook, plus MS Teams and SharePoint.
- Proven experience managing complex calendars and travel arrangements across multiple time zones and changing priorities.
- Experience supporting senior leaders in a hybrid environment, ideally across multiple locations or cities.
- Strong attention to detail, follow-through, organization, and the ability to anticipate needs and work with minimal supervision.
