Position Overview
The Executive Assistant role for Caremark Member & Clinical Operations supports executive and senior leadership by managing a broad range of administrative tasks. These duties include handling emails, attending meetings with minute-taking, preparing presentations and complex spreadsheets, managing calendars, travel arrangements, expenses, project coordination, and interfacing with various leaders and stakeholders. While this is a remote position available nationwide, preference is given to candidates located in Scottsdale, Dallas, Woonsocket, Hartford, or Northbrook.
Key Responsibilities
- Organize and arrange complex travel itineraries and manage related expenses.
- Coordinate large onsite and offsite meetings or events, involving internal and external vendors for catering, lodging, activities, and presentation logistics including video and conferencing support.
- Support onboarding and offboarding processes by ordering equipment and establishing plans for new hires, and processing exit procedures.
- Serve as a professional point of contact representing company values in interactions both inside and outside the organization.
- Handle urgent business matters, provide early identification of potential issues, escalate when necessary, and keep leadership informed.
- Manage inbound workflow to direct tasks accurately, especially during manager absences.
- Track progress of delegated tasks to ensure timely completion and maintain confidentiality of sensitive business information.
- Work autonomously to manage executives’ calendars and appointments, balancing internal and external commitments.
- Maintain leadership deliverables, following up on outstanding issues.
- Assist with budget preparations and monitoring for cost centers and generate related reports.
- Lead special projects as assigned.
- Collaborate across the company to share resources, ensure coverage and provide backup support to other Executive Assistants.
Qualifications
- At least seven years of experience as an Executive or Administrative Assistant supporting executives in a large, matrixed organization.
- Minimum of five years of advanced proficiency with Microsoft 365 applications.
- Preferred background includes prior work experience in pharmacy benefit management or healthcare sectors.
- Educational requirement: High School Diploma or GED equivalent.
Work Schedule and Compensation
This is a full-time position expected to work 40 hours per week, with an hourly pay range from $22.59 to $53.95. The final salary depends on experience, education, location, and other relevant factors. Employees in this role may be eligible for bonuses, commissions, or other incentive programs.
