Position Overview
We are hiring a dependable, highly organized Remote Administrative Assistant to help support a growing operations function across the MENA region, with coverage for the UAE, Qatar, and Saudi Arabia.
This is an entry-level opportunity for someone who enjoys structured work, accurate record keeping, and assisting with everyday administrative processes. The role focuses on managing information, monitoring workflows, maintaining documentation, and keeping operational data current and reliable.
No extensive prior experience is needed. Structured onboarding and training will be provided. We are seeking someone who works well independently, is accountable, and consistently delivers accurate, high-quality output.
Administrative Data Management
- Keep spreadsheets and internal databases current using Google Sheets or Microsoft Excel.
- Check records carefully for correctness, completeness, and consistency.
- Reformat names, contact details, and internal documents to match standard templates.
- Spot duplicate entries, missing fields, and mismatched data.
- Highlight incomplete records so they can be followed up.
- Arrange digital files according to naming rules and folder systems.
- Maintain logs of edits, corrections, and record updates.
Workflow and Task Coordination
- Sort and organize incoming administrative requests.
- Route or assign tasks based on established procedures.
- Monitor tasks through to completion.
- Follow up on delayed or unfinished items.
- Keep status records clear and up to date.
- Raise questions when more information or clarification is required.
Tracking and Reporting
- Update trackers for active, finished, and pending work.
- Maintain daily logs and supporting documentation.
- Prepare basic progress updates and summaries.
- Watch for repeated issues and suggest process improvements where possible.
- Escalate workflow blockages when needed.
Scheduling and Administrative Support
- Support calendar changes and scheduling tasks when required.
- Send reminders for deadlines and key milestones.
- Track onboarding progress and checklist completion.
- Assist with internal administrative coordination to keep work on schedule.
Quality Assurance
- Review work for accuracy and correct formatting before submission.
- Keep files and documentation well organized.
- Ensure records can be accessed quickly and easily.
- Assist with updates to internal procedures and documentation.
- Work in line with standard operating procedures (SOPs).
