Role Overview
We are looking for a well-organized and detail-focused Administrative Assistant to aid the daily activities within our professional services operations. This role is vital for handling client engagement documentation, coordinating projects, and supporting internal processes to ensure smooth administrative operations.
Key Responsibilities
- Prepare and manage client engagement letters and essential documentation.
- Monitor project milestones, deadlines, and engagement progress across several projects.
- Assist with client onboarding and maintain precise client information records.
- Collaborate with internal teams to secure approvals, signatures, and necessary paperwork.
- Keep engagement trackers, databases, and filing systems up-to-date.
- Help create proposals by formatting and managing documents.
- Arrange meetings, manage calendars, and organize conference calls.
- Develop meeting materials, presentations, and reports as requested.
- Handle incoming communications and ensure prompt follow-up actions.
- Support administration and operational tasks across various service divisions.
- Maintain documentation aligned with internal quality and compliance guidelines.
Qualifications and Skills
- Bachelor's degree in Business Administration, Commerce, Accounting, Finance, Economics, or related discipline.
- Between zero to three years' work experience in administration, project coordination, client service, consulting assistance, or office management.
- Prior experience preferred in consulting, accounting, legal, finance, or professional services sectors.
- Strong organizational skills with an ability to multitask effectively.
- Excellent written and oral communication proficiency in English.
- Skilled in Microsoft Office suite, especially Excel, PowerPoint, and Word.
- Detail-oriented with high accuracy standards.
- Capable of managing multiple priorities within a dynamic work environment.
Preferred Qualifications
- Experience managing client documents, contracts, engagement letters, or onboarding procedures.
- Knowledge of project tracking, milestone monitoring, or workflow coordination tools.
- Additional language skills such as Russian, Ukrainian, Belarusian, or other European languages are advantageous.
