Role Overview
The Administrative Assistant IV serves as a pivotal support for senior leadership within a global enterprise sales team, managing executive calendars, coordinating international and domestic travel, organizing meetings, handling expense reporting, and facilitating daily operational needs. This role demands exceptional organization, discretion, and the capacity to juggle multiple priorities in a fast-paced tech-driven setting.
Primary Responsibilities
- Oversee intricate scheduling for senior executives, ensuring alignment with strategic priorities and resolving conflicts efficiently.
- Coordinate meetings flexible across time zones and global locations, including business reviews and strategic discussions.
- Arrange comprehensive travel logistics including flights, lodging, ground transport, visas, and adjustments to travel plans.
- Manage accurate preparation and submission of executive expense reports and verify financial documents for correctness.
- Provide administrative assistance including record maintenance, document confidentiality management, correspondence handling, office supplies procurement, and bookkeeping tasks.
- Plan and execute logistics for meetings and corporate events, such as setting agendas, organizing virtual conferencing, venue coordination, catering, and off-site events.
- Engage with executives, stakeholders, and internal/external partners professionally while safeguarding sensitive information and supporting simultaneous projects.
Required Qualifications
- High school diploma or equivalent.
- Eight to ten years of extensive administrative or executive support experience, especially supporting senior leaders.
- Proficiency in managing complex executive calendars and preparing expense reports.
- Advanced skills in Microsoft Word, Excel (including VLOOKUP and Pivot Tables), and PowerPoint.
- Outstanding communication skills, both written and oral.
- Exemplary organization, multitasking, time management, attention to detail, and independent work capabilities.
- Ability to maintain confidentiality and manage sensitive information professionally.
Preferred Qualifications
- Experience supporting executives in large enterprise environments like Microsoft.
- Familiarity with enterprise-specific Microsoft tools and business workflows.
- Background in coordinating corporate events, executive off-site meetings, and employee engagement activities.
