Position Summary
The Vice President of Management Operations role involves providing executive leadership and operational supervision over a portfolio of condominium and homeowners association communities. Reporting to the Senior Vice President of Management, this position is responsible for guiding Regional Directors and Community Managers to ensure outstanding client service, operational efficiency, financial stewardship, and alignment with organizational objectives.
This leadership role requires a seasoned professional with expertise in community association management, condominium operations, team building, and client retention, acting as a vital part of the management team.
Key Responsibilities
- Lead and oversee Regional Directors and Community Managers managing multiple HOA and condominium portfolios.
- Maintain adherence to AKAM's standards, policies, and service expectations consistently across communities.
- Monitor and analyze portfolio operational performance and metrics to foster continuous operational improvements.
- Collaborate with Regional Directors to resolve complex operational and community-related issues.
- Implement and promote best practices throughout managed communities.
- Drive initiatives that facilitate growth, scalability, and enhance client satisfaction.
- Directly manage and mentor Regional Directors, fostering leadership and talent growth within the management organization.
- Attract, cultivate, and retain exceptional management talent, conducting evaluations and setting clear performance standards.
- Develop succession plans identifying high-potential leaders for future advancement.
- Encourage a collaborative and service-focused organizational culture emphasizing professionalism and accountability.
- Act as an executive liaison and resource for Boards of Directors and significant clients on complex matters.
- Support Regional Directors in sustaining robust relationships with Board members and stakeholders, and engage in board and client meetings as necessary.
- Assist in client retention and manage escalated service issues effectively.
- Oversee financial and operational portfolio performance, ensuring budget compliance and achievement of financial goals.
- Review financials including reserve plans and major expenditures, coordinating with finance and accounting teams to identify risks and opportunities.
- Ensure sound financial practices by management teams and support strategic initiatives like capital projects and vendor relations.
- Guarantee community operations comply with governing documents, laws, regulations, and corporate policies.
- Work with legal, risk management, and leadership on compliance and crisis situations, including supporting crisis management responses.
- Identify operational risks and implement corrective actions when required.
- Collaborate with senior leadership to set and implement strategic goals and initiatives for the department.
- Analyze data and portfolio trends to promote improved operational strategies and lead organizational change.
- Participate in executive-level strategic planning concerning growth, staffing, client services, and operations.
Qualifications
- Bachelor's degree in Business Administration, Real Estate, Property Management, Finance, or a similar discipline preferred; advanced degrees or executive training are advantageous.
- At least 10 to 15 years of progressively responsible property management experience, notably in condominium and HOA communities.
- Minimum of five years in senior leadership positions managing multiple managers, Regional Directors, or sizable portfolios.
- Experience leading geographically diverse teams and overseeing extensive client portfolios.
- Comprehensive knowledge of HOA and condominium governance, budgeting, reserve planning, and board relations.
- Strong skills in team mentorship and development.
- Solid understanding of compliance and regulatory requirements.
- Effective communication and presentation capabilities.
