Role Overview
The Payroll Team Assistant supports the Payroll department by providing administrative, operational, and quality assurance assistance to ensure smooth and precise payroll processing. Reporting directly to the Payroll Supervisor, your duties will include handling ServiceNow workflow, managing employee banking updates, tracking direct deposit issues, aiding payroll review activities, maintaining payroll records, and assisting colleagues in delivering timely payroll services.
Primary Responsibilities
- Oversee and manage payroll-related tickets and service requests via the ServiceNow platform.
- Delegate tickets appropriately, following established procedures and balancing workloads.
- Escalate complex or urgent matters to Payroll leadership as needed.
- Maintain payroll documentation complying with organizational policies and legislative standards.
- Prepare reports, spreadsheets, and documentation to support payroll operations and process enhancements.
- Communicate with subcontractors about discrepancies or missing data.
- Process employee bank information changes through Workday, ensuring completeness, accuracy, and authorization.
- Safeguard confidential banking records adhering to privacy and security protocols.
- Monitor and resolve direct deposit rejections, returned payments, and related banking alerts in coordination with employees.
Required Qualifications
- High school diploma required; college diploma in Office Administration or Business/Accounting preferred.
- Previous experience in payroll, finance, or admin support is advantageous but not essential.
- Detail-oriented with exceptional accuracy in data entry.
- Proficient in Microsoft Office (Excel, Outlook, SharePoint) and related software tools.
- Strong analytical thinking and problem-solving abilities, with adherence to procedures and escalation when necessary.
- Excellent written and verbal communication skills for interaction with internal and external parties.
- Adaptability and eagerness to learn new systems and processes.
- Dedication to client and family-centered care principles.
- Experience with Goldcare, Workday, or ServiceNow considered a plus.

- Wage range: $25.04 to $29.61 hourly, placement per Collective Agreement.
