Key Responsibilities
- Manage complex calendars and appointments, coordinating across different time zones and anticipating conflicts to resolve them proactively.
- Oversee email inboxes by drafting replies, prioritizing communication, and ensuring prompt follow-up within a two-hour window.
- Act as liaison between clients and various contacts while maintaining detailed client profiles and regularly reporting weekly usage.
- Prepare documents, presentations, and reports, as well as handling data entry, file organization, and project coordination tasks.
- Arrange travel plans including booking flights, hotels, and transportation; prepare detailed itineraries and manage changes.
- Coordinate virtual and in-person meetings or events, supporting smooth daily operations and identifying opportunities to enhance efficiency.
Required Skills and Qualifications
- Strong organizational skills with excellent time management and attention to detail.
- Superior written and verbal communication abilities.
- Capability to handle multiple clients and deadlines while maintaining a proactive and solution-focused approach.
- Self-motivated to work independently within a remote environment.
- Preferred bilingualism in English/French and/or Spanish.
- Experience supporting executives, entrepreneurs, or small business owners is advantageous.
- Educational background including an Associate's or Bachelor's degree in Business Administration or equivalent experience.
- 2 to 4 years of experience in executive or administrative assistant roles, with a proven typing speed of at least 50 words per minute accurately.
Technical Competencies
- Proficiency with Google Workspace and Microsoft Office.
- Experience with calendar management tools like Google Calendar and Outlook.
- Familiarity with project management and CRM platforms such as Asana, Trello, ClickUp, Zoho, or Salesforce.
- Use of communication tools including Slack, Zoom, and Microsoft Teams.
Work Conditions and Additional Requirements
- Reliable high-speed internet connection, a computer, and a phone are essential.
- Maintain confidentiality and professionalism at all times.
- Availability during agreed business hours (either PST or EST, Monday to Friday).
- Currently, this contractor role is open only to residents of the United States or Canada.
Compensation
This independent contractor position offers earnings based on a portion of client monthly service plans, typically ranging between $1,500 and $3,800 per month depending on client workload.
