Role overview
This position supports a US-based real estate development and construction company in the Los Angeles market. Because development, design, and construction are managed in-house, decisions move quickly and coordination happens directly, without heavy layers of approval.
The company is seeking a Preconstruction & Project Coordinator who can handle detailed preconstruction and coordination work, analyze drawings and proposals carefully, and convert incomplete information into clear, usable project actions. You will work closely with the Director of Construction and gain exposure to estimating, procurement, constructability review, design coordination, budgeting, scheduling, buyout, and active project management.
The first phase of the role is centered on preconstruction and estimating support. Over time, as you show strong judgment and ownership, the position is expected to expand into broader project management responsibilities across an active pipeline that includes restaurant tenant improvements, a ground-up luxury ADU, a commercial second-story addition, a core-and-shell electrical upgrade, façade renovations with structural upgrades, and a two-story mixed-use ground-up development planned for 2027.
Preconstruction and estimating duties
- Examine architectural, structural, civil, MEP, and consultant drawings to spot coordination conflicts, missing details, scope omissions, and constructability issues.
- Build trade-specific RFPs, bid packages, scope sheets, and subcontract exhibits.
- Write detailed subcontract scope language using the plans, specifications, and project requirements as the basis.
- Find qualified subcontractors and vendors, distribute bid packages, follow up, and push proposals through to completion.
- Compare and level bids, reconcile exclusions and qualifications, and prepare concise recommendations for leadership.
- Check construction costs against market data, historical pricing, material quotations, and subcontractor input.
- Spot practical value-engineering options that lower cost or save time without needlessly reducing quality.
- Explore owner-direct purchasing opportunities for materials and equipment.
- Draft RFIs and coordinate open questions with designers, consultants, subcontractors, and vendors.
- Help develop and confirm project schedules, procurement timelines, and tracking for long-lead items.
- Compile complete project budgets, including trade pricing, allowances, contingencies, general conditions, and known risk items.
- Prepare organized scope and handoff packages for the superintendent and field team.
Active project responsibilities
- Maintain RFI, submittal, procurement, and design-coordination logs as the project progresses.
- Coordinate remotely with subcontractors, consultants, vendors, and field leadership.
- Track long-lead materials, fabrication status, approvals, and deliveries.
- Review subcontractor change-order requests and assemble the backup documentation.
- Keep budgets, commitments, forecasts, and potential cost exposures current.
- Assist with schedule updates, look-ahead planning, and the identification of constraints.
- Prepare meeting agendas, minutes, action-item trackers, and decision logs.
- Make sure the superintendent has current drawings, approved submittals, and coordinated scope information.
- Support punch-list completion, closeout records, warranties, and turnover.
Required qualifications
- At least 5 years of experience in construction preconstruction, estimating, project engineering, or project management.
- Strong understanding of construction drawings, specifications, scopes of work, and trade sequencing.
- Proven experience assembling bid packages, leveling proposals, and identifying missing scope.
- Ability to review multi-discipline drawings such as architectural, structural, MEP, and civil for coordination and constructability.
- Strong written English skills, including the ability to prepare clear RFIs, scope narratives, and professional correspondence.
- Working knowledge of project budgets, procurement, schedules, RFIs, submittals, and change management.
- High levels of organization, follow-through, and attention to detail.
- Good judgment on what to solve independently and what to escalate.
- Comfort communicating directly with subcontractors, vendors, architects, engineers, and field teams.
- Ability to work independently in a remote setup while staying responsive and accountable.
- Willingness to overlap with US Pacific business hours, with a preferred start around 9:00 AM PST; the schedule can be flexible within reason.
Preferred qualifications
- 7 to 10 years of experience with clear ownership of bid packages, scope development, coordination, budgeting, and active project controls.
- Previous direct experience with US-based general contractors, developers, or owners.
- Exposure to ground-up construction, commercial renovations, tenant improvements, and building-envelope work.
- Interest in improving templates, workflows, and procurement systems rather than only executing existing ones.
Tools and software
- Bluebeam Revu for drawing review, markups, and takeoffs.
- Procore or Autodesk Construction Cloud for project management, RFIs, submittals, and drawings.
- Microsoft Excel and Word for bid leveling, budgeting, scope narratives, and meeting minutes.
- PDF markup tools plus cloud-based file management through MS Teams and OneDrive.
- Estimating and scheduling tools such as Sage Estimating, PlanSwift, MS Project, or P6 are an advantage.

Interview scheduling
Initial recruiter calls are held in US Mountain Standard Time (Arizona, no daylight saving) during a 3:00 AM to 1:00 PM MST window. For applicants in the Philippines, that corresponds to 6:00 PM to 4:00 AM PHT the next day. Flexibility across time zones is appreciated.
