Key Responsibilities
- Support day-to-day operations alongside the Operations Manager, including strategic projects and special initiatives.
- Assist with billing procedures and other operational administrative tasks.
- Manage project schedules, deliverables, and follow-up actions to ensure timely completion.
- Organize meetings, prepare agendas and materials, coordinate calendars, and document meeting minutes accurately.
- Track and communicate ongoing project progress and deadlines with team members proactively.
- Identify potential improvements to operational workflows to enhance efficiency and standardize processes.
- Research software and automation tools to recommend technology solutions.
- Develop and maintain Standard Operating Procedures (SOPs), templates, and internal documentation.
- Lead process enhancement initiatives to boost productivity and organizational effectiveness.
- Create reports, presentations, and operational metrics through Microsoft Office applications.
- Support data collection and analysis to inform business decisions.
- Maintain and organize operational documents using Microsoft Teams and SharePoint, ensuring confidentiality.
- Perform additional operational, administrative, and project-related duties as needed.
Qualifications and Skills
- Preferably two to five years of experience in operations, project coordination, executive support, office management, or related fields.
- Strong expertise in Microsoft Office 365 products, especially Excel, Outlook, Word, Teams, and SharePoint.
- Excellent organizational and time-management abilities to handle multiple projects concurrently.
- Effective verbal and written communication skills.
- Proven capacity to work independently, solve problems, and proactively take initiative.
- High attention to detail and dedication to accuracy and task completion.
- Quick adaptability to new software and technologies that improve operational efficiency.

- Experience with operational or process improvement initiatives.
- Familiarity with project or workflow management software.
- Ability to anticipate and prepare for organizational needs ahead of time.

Work Schedule and Conditions
- Full-time employment.
- After completing a 90-day introductory period with positive performance, employees may qualify to work remotely one to two days weekly.

- Formal performance reviews occur six months after hire and annually, with compensation adjustments reflecting individual and organizational factors.
