Overview
The Operations Coordinator plays a vital administrative and operational role in ensuring the effective delivery of inspection services. Acting as a central contact point, this position facilitates coordination among clients, inspection teams, inspectors, and management to promote smooth workflow and high service quality.
Key Responsibilities
- Perform assigned administrative and coordination duties to support the Inspection Services (IS) department’s workflow and operational needs.
- Manage and oversee invoicing processes, liaising with finance, clients, and suppliers to ensure accuracy and timeliness.
- Compile timesheets and prepare weekly and monthly summary reports as requested by clients.
- Assist in organizing inspection schedules both locally and internationally, maintaining communication and reporting to meet company standards and contractual obligations.
- Maintain up-to-date records for the IS department and assist with internal and external audits as well as accreditation compliance.
- Generate and update daily, weekly, and monthly operational reports, tracking systems, databases, and management overview documents.
- Organize filing systems, both electronic and physical, to ensure compliance with document control protocols.
- Maintain professional communication standards to support high customer satisfaction and service delivery quality.
- Identify operational challenges and suggest possible improvements to enhance efficiency.
Qualifications and Skills
- Bachelor's degree or diploma in Business Administration, Operations Management, Finance, Engineering, or a related discipline.
- Between 2 to 5 years of relevant work experience.
- Competent in Microsoft Office applications including Excel, Word, PowerPoint, and Outlook.
- Experience with ERP and document management systems is advantageous.
- Background in industrial or Oil & Gas sectors is a plus.
- Strong communication and reporting capabilities.
- Holding a valid UAE driving license is preferred.
