Role Overview
Keel Infrastructure is seeking an organized, proactive Office Manager to ensure smooth day-to-day workplace operations. This position is responsible for managing supply inventories, vendor relations, team support, and fostering a positive office culture. The ideal candidate thrives on anticipating issues, enjoys varying daily tasks, and takes pride in maintaining a welcoming and efficient environment.
Key Responsibilities
- Manage daily office functions, keeping the workspace organized, sufficiently stocked, and running efficiently.
- Oversee vendor partnerships including cleaning, maintenance, catering, office supplies, and IT support; negotiate contracts when necessary.
- Coordinate lunch orders on a daily basis.
- Act as the main contact for facilities issues, facilitating any needed repairs and upkeep.
- Assist new hire onboarding by preparing workspaces, arranging equipment, access badges, and welcome materials.
- Manage the office budget, monitor expenses, and handle invoice processing.
- Organize company events, meetings, and team-building activities.
- Handle incoming mail, packages, and occasional front desk or reception duties.
- Maintain office policies, procedures, and ensure compliance with health and safety regulations.
- Support People & Culture (P&C) and leadership teams with scheduling, travel planning, and filing tasks.
- Regularly track office supply inventory and place orders as needed.
- Contribute to special projects and additional administrative responsibilities as assigned.
- Assist in planning, building out, and relocating to new office spaces.
Qualifications
- Minimum of five years experience in office management, administrative support, or a related field.
- Exceptional organizational abilities with a keen eye for detail.
- Capacity to manage multiple priorities effectively and adapt quickly in a dynamic environment.
- Strong written and verbal communication skills.
- Comfortable using Microsoft Office, Google Workspace, and general office software.
- Proactive problem-solving attitude.
- Ability to handle confidential or sensitive information discreetly.
- Approachable and friendly demeanor, often serving as the first point of contact within the office.
Preferred Skills
- Experience with office management software such as Slack, Outlook 365, or QuickBooks.
- Background working in startup or small-business settings.
