Overview
Bentwater Yacht and Country Club in Montgomery, TX, is seeking a Membership & Events Assistant to provide excellent member services and support various club events. The assistant will play a vital role in creating a welcoming atmosphere, handling administrative duties, and aiding in event planning and execution while upholding the club's values and standards.
Key Responsibilities
- Serve as the first point of contact by greeting and assisting members and guests warmly at the front desk.
- Respond promptly and politely to incoming phone calls and return member calls professionally.
- Assist members with membership account changes such as upgrades, downgrades, and hardship accommodations.
- Conduct tours showcasing member amenities.
- Manage guest entries for tours and events using the Front Steps system.
- Refer billing questions and title company communications to the Accounting Department.
- Handle membership data maintenance including updating files and entering details into the Jonas management system, such as removing dependent children over age 25 on Fridays.
- Prepare and maintain membership documentation, including packets, applications, and ACH forms; ensure adequate stock and follow up with new members for missing paperwork.
- Regularly review the Montgomery County website for property deed updates.
- Support event activities by assisting with the coordination and hosting of quarterly New Member Breakfasts and other club events under the Membership & Events Director's guidance.
- Enter event menus into Banquet Event Orders (BEOs) and maintain event details and floorplans in Asana and Outlook calendars, ensuring a minimum 30-day advance input for events.
- Distribute weekly BEO packets to employees each Tuesday and aid in creating signage for catering services.
- Manage office operations, including use of office machines, ordering and tracking supplies through Excel, and replenishing printing materials.
- Maintain inventory at the front desk and beverage areas and prepare welcome bags for new members including branded items.
- Assist with special projects as directed by the Membership & Events Director.
- Adhere to professional standards including dress code, personal hygiene, safety and security policies, and club mission and values.
- Represent the club positively and enthusiastically while following all standard operating procedures.
