Technology is integral to the organization's operations. The IT team supports Microsoft 365, cloud services, corporate devices, networking, Wi-Fi, printers, mobile technology, and modern boardroom solutions including Teams-enabled meeting rooms with large displays and video conferencing.
Position Overview
We are seeking an IT Assistant to join our internal IT team. This role acts as the frontline contact for everyday IT support and operational technology within a Microsoft-based environment that includes cloud services, devices, boardrooms, and on-premises infrastructure. The successful candidate will help maintain system stability and respond to user needs, working closely with the Director of IT & Cybersecurity in a hands-on role.
Key Responsibilities
- Deliver Tier 1 IT support for hardware, software, user accounts, and connectivity issues with professionalism and within defined response timelines.
- Assist users with Microsoft 365 applications such as Outlook, Teams, OneDrive, SharePoint, Word, Excel, and PowerPoint.
- Troubleshoot Windows and macOS hardware including peripherals, printers, docking stations, and mobile devices; escalate complex issues as needed.
- Conduct daily system health assessments across critical infrastructure like Teams Rooms AV systems, Wi-Fi networks, VPNs, on-premises servers, virtualization platforms, printers, and office technology.
- Document daily checks, identify and address minor anomalies proactively before they impact operations.
- Configure, deploy, recover, and maintain laptops, desktops, mobile devices and accessories while managing inventory including warranties and assignments.
- Support device lifecycle management including onboarding, offboarding, software installations, patching, and use of endpoint management tools like Microsoft Intune, NinjaOne, and Jamf.
- Assist with identity management, including account provisioning, password resets, multi-factor authentication support, licensing, and permissions within Active Directory and Entra ID.
- Support collaboration platforms by managing SharePoint, OneDrive, and Teams permissions, and help staff adhere to secure data handling practices.
- Contribute to monitoring and supporting on-premises infrastructure such as Active Directory, Scale Computing HC3 virtualization, access control systems, application servers, backups, and patching under leadership guidance.
- Assist users with cybersecurity awareness, phishing detection, and follow IT security policies while supporting tools like Microsoft Defender, Fortinet, and Wazuh.
- Provide support for boardroom technologies including Teams Rooms, audiovisual equipment, displays, microphones, and meeting technology.
- Maintain and enhance documentation, create user guides and operational procedures, and leverage AI tools like Microsoft Copilot to improve efficiency.
- Participate in IT projects, deployments, and continuous improvement efforts.
Candidate Qualifications
- Completion of a diploma, certificate, or formal studies in Information Technology, Computer Systems, Cybersecurity or related field.
- 0 to 2 years of experience in IT support, helpdesk, or technical support roles; recent graduates with strong technical knowledge are encouraged.
- Foundational knowledge of Microsoft 365, Windows and macOS operating systems, basic networking concepts, Active Directory administration, and user account management.
- Excellent communication skills with the ability to explain technical subjects clearly to non-technical colleagues.
- Strong troubleshooting capabilities, organizational skills, attention to detail, and discretion with confidential information.
- Ability to balance proactive infrastructure maintenance with responsive user support in a dynamic environment.
- Preferred exposure to virtualization platforms (Scale Computing HC3, Hyper-V, VMware), endpoint management tools (Intune, NinjaOne, Jamf), ticketing systems (NinjaOne Ticketing, ServiceNow), and basic networking components (Wi-Fi, DNS, DHCP, VPN, switches).
- Interest or experience in cybersecurity monitoring tools, automation, AI, scripting, Python, or SQL considered advantageous.
- Personal qualities: approachable, helpful, calm under pressure, curious, adaptable, reliable, organized, professional, and capable of working independently as well as collaboratively.
Working Conditions
- Role is onsite at UBC Campus, Vancouver, British Columbia.
- Physical ability to lift equipment weighing up to 25 lbs including laptops, monitors, AV gear, and related technology.
- Work environment includes offices, boardrooms, storage areas, and light infrastructure settings.
Compensation and Benefits
Salary for this position is determined according to candidate skills, experience, education, and market factors. The total rewards package includes:
