Role Overview
UPMC Ireland is seeking an experienced Human Resources Administrator to join their team based in Waterford, with weekly travel to the Kilkenny office. This permanent role involves providing centralized HR administrative support across all sites to ensure organized and efficient HR department operations. The incumbent will enhance the employee experience through various administrative responsibilities including onboarding, employee records management, and HR system updates.
Key Responsibilities
- Maintain and accurately update employee records.
- Prepare employment contracts for new hires.
- Manage Garda Vetting, background and credential verifications, reference checks, and work permit applications.
- Schedule employee inductions and facilitate smooth onboarding.
- Act as the first point of contact for HR-related inquiries, escalating to HR Business Partners as needed.
- Ensure employee files comply with audit and legal standards.
- Generate reports from HR Information Systems, such as tracking starters, leavers, sick leave, and headcount.
- Update HRIS and Time & Attendance systems with changes in terms and conditions, maintaining data accuracy.
- Organize filings continuously to maintain record order.
- Represent HR in cross-departmental meetings when required.
- Support data consolidation efforts for audits and accreditations.
- Assist payroll processing by verifying relevant records.
- Coordinate employee recognition programs and initiatives.
- Maintain hospital-wide training records to ensure mandatory training compliance is documented in personnel files.
- Perform additional HR tasks as assigned.
Qualifications and Experience
- Minimum of two years' experience in a dynamic HR department environment.
- Relevant HR qualification with CIPD accreditation or working towards it.
- Proficient in IT tools including MS Word, MS Teams, Outlook, and PowerPoint with the ability to visually and creatively present data.
- Strong organizational capabilities complemented by a growth-oriented mindset.
- High level of integrity and confidentiality in handling sensitive information.
- Excellent communication and interpersonal skills, adaptable to fast-paced settings.
- Attention to detail and ability to work independently.
