Job description
About The Role
The Luxury Collection seeks a diligent Rooms Administrator to bolster the Rooms Division's administrative functions. This non-management position plays a crucial role in supporting smooth daily hotel operations, ensuring guest satisfaction, and maintaining meticulous records. The role is based in Doha, Qatar, and involves extensive use of Opera PMS and coordination with multiple hotel departments.
Key Responsibilities
- Oversee guest reservations, profiles, room allocations, and operational alerts in Opera PMS.
- Manage departmental communications, promptly handle emails, and ensure accurate information flow between guests and internal teams.
- Track and coordinate guest requests, special arrangements, and service recovery efforts to guarantee timely fulfillment.
- Maintain and update the Rooms Division calendar covering meetings and operational plans.
- Generate required daily to monthly reports for Rooms leadership and assist with occupancy and VIP-related reports.
- Ensure administrative files, databases, and records are kept accurate, organized, and confidential.
- Create professional documents including correspondence, presentations, and spreadsheets using Microsoft Office.
- Facilitate seamless communication among Front Office, Housekeeping, Engineering, Guest Relations, Reservations, and other departments.
- Monitor operational tasks and deadlines to support department efficiency.
- Operate standardized office and hotel systems efficiently.
- Contribute to quality assurance initiatives, audits, and special projects as assigned.
- Maintain strict confidentiality of guest and business information adhering to Marriott policies.
Skills and Competencies
- Expertise in Opera PMS and Microsoft Office suite.
- Exceptional organizational and administrative skills with attention to detail.
- Strong communication abilities both in writing and verbally.
- Capable of multitasking and prioritizing within a dynamic hotel environment.
- Excellent interpersonal skills with focus on guest satisfaction.
- Self-reliant while able to support cross-department teams.
- Professional discretion and confidentiality in handling sensitive data.
Preferred Qualifications and Experience
- Diploma or 2-year degree in Hotel and Restaurant Management, Hospitality, Business Administration, or related discipline from an accredited institution.
- A minimum of two years’ experience in guest services, front office, or related sales positions.
- No supervisory experience required.
- No specific licenses or certifications necessary.
